The Opportunity with McKinstry

We are seeking a Service Repair Coordinator to join our Services division in Seattle, WA. This is a central, high-impact role within our team, which is primarily focused on HVAC and plumbing work. As a Service Repair Coordinator, you will create and manage repair proposals initiated by field staff and customers, research and quote complex repairs and small projects, and proactively manage customer relationships. This role offers broad exposure to everything we do - from coordinating repairs with customers, vendors, dispatchers, and technicians, to working alongside municipal inspection authorities to see projects through.

Who You'll Work With

In this role, you'll be a central connector across the organization. You'll build close, day-to-day relationships with the field team - supporting 20+ technicians whose opportunities flow directly through you. You'll collaborate with our dispatch team to coordinate work, lean on our projects team for escalations and insights, and partner with account management to ensure every client interaction is informed and thoughtful. You'll also work alongside leadership and billing teams to keep things moving smoothly and engage with other lines of business as needed. Simply put, this role sits at the heart of the operation and requires someone who communicates well across all levels of the organization.

What We're Looking For

We're looking for a driven, process-oriented individual who takes pride in delivering an exceptional experience for customers and teammates alike. You're disciplined, organized, and thrive in high-volume environments - building efficient daily rhythms while never losing sight of the details. A natural communicator with high energy, genuine curiosity, and a team-first attitude, you follow things through and know how to follow up. Experience in a service-based industry - facilities, food service, hospitality, or similar - is a plus. Above all, you respect the process and show up every day ready to do great work.

Key Responsibilities

  • Intake and track repair requests.
  • Prepare quotes, including vendor research as needed.
  • Follow-up with customers on open quotes.
  • Process and coordinate approved work, including ordering equipment, permits (as applicable), parts and materials, and communication with dispatch and technicians.
  • Research, quote and coordinate complex repairs and small projects.
  • Proactively managing customer relationships to foster additional work.
  • May mentor or coach other Repair Coordinator(s) as directed.
  • Collaborate with and receive coaching from Project Managers.
  • Perform other duties as assigned.

What You Need to Succeed at McKinstry

  • College degree or equivalent work experience.
  • 2 - 5 years prior related work experience preferred.
  • Ability to understand technical information required.
  • Strong written and verbal communication.
  • Well organized and able to manage time effectively.
  • Proficient with MS Office suite.
  • Ability and willingness to travel occasionally, including periodic field and regional office visits.

The pay range for this position is $24.36 - $39.28 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This position is considered non-exempt and will be paid hourly. Base pay information is based on market location. A bonus may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
