JOB DESCRIPTION


JOB TITLE: Administrative Assistant - Operations / Business Process Support
LOCATION: Pregis - Tulsa
DEPARTMENT: Plant Administration
REPORTS TO: Operations Management



SUMMARY / OVERVIEW:


Provide administrative assistance and support for Manufacturing Operations, with a primary focus on supporting the Pregis Tulsa 7Element Safety Process and the Pregis Production System (PPS). This role is responsible for coordinating, documenting, and maintaining administrative systems that support plant safety initiatives, continuous improvement efforts, and operational reporting.


This assistance includes facilitating daily office procedures, SAP updates and reconciliations, answering phones, overseeing office supply inventories, compiling data to complete required reports, and supporting leadership with general administrative tasks. Draft, edit, and complete correspondence, both internal and external. Maintain files and records related to operations, safety, and business processes. Coordinate respective activities with other supervisors and employees. Responsible for other projects and assignments, as required.

PRIMARY DUTIES AND RESPONSIBILITIES:



  1. Operations & Business Process Administrative Support
    Provide daily administrative support for Plant Operations, including support for the Tulsa 7Element Safety Process and PPS initiatives. Remain in tune with production objectives, safety expectations, reporting requirements, and continuous improvement activities. Maintain effective administrative systems and procedures, including correspondence, filing systems, email and voice communications, workflow efficiencies, and documentation control.
  2. Safety Process Administrative Support (7Element Process)
    Administratively support plant safety initiatives by maintaining safety documentation, records, dashboards, meeting materials, training records, audits, action items, and follow-ups associated with the Tulsa 7Element Safety Process. Coordinate with safety champions and leadership to ensure information is current, accurate, and accessible.
  3. Tulsa PPS (Pregis Production System) Support
    Provide administrative and documentation support to the Tulsa PPS Process. Assist with organizing process data, maintaining standard work documents, tracking action plans, compiling reports, and supporting continuous improvement initiatives led by Operations Management.
  4. SAP & Systems Support
    Assure working knowledge of applicable aspects of the SAP system, particularly related to material transactions, production reporting, and administrative updates. Maintain system updates as required for accurate documentation and reporting. Must be computer savvy, with solid working knowledge of systems software and Microsoft Office tools.
  5. Data Collection, Reporting & Documentation
    Gather, compile, organize, and maintain information required to complete reports for Operations, Safety, and PPS. Handle data entry pertaining to production, shipping receipts, material transactions, and other plant-related information within the SAP system and supporting tools. Generate regular and ad hoc reports as requested. Maintain absolute confidentiality on sensitive issues.
  6. Communication & Coordination
    Communicate effectively on a daily basis with internal and external stakeholders. Answer, assist, or refer inquiries appropriately. Take clear and accurate written messages when required and ensure proper follow-up. Serve as a liaison between Operations Management, safety champions, supervisors, and administrative staff as needed.
  7. Correspondence & Documentation Preparation
    Draft letters, memos, summaries, meeting notes, presentations, and narrative reports related to operations, safety, and PPS initiatives. Use proper grammar and professional business writing standards. Edit, compile, and distribute materials as directed.
  8. Leadership & Administrative Support
    Provide general administrative support to Operations Management and leadership teams. Aid in administering best practices to ensure Operations is well informed about matters impacting production, safety, and continuous improvement. Keep Management notified of items requiring attention, triaging priorities based on urgency and deadlines.
  9. Additional Projects
    Administer other projects and assignments as directed. Remain flexible to changing workloads and time commitments in a dynamic manufacturing environment.



QUALIFICATIONS:


Education:



  • High school graduate or equivalent required
  • Additional business coursework or studies preferred


Experience:



  • 3-5 years of related administrative experience preferred
  • Manufacturing or industrial environment experience strongly preferred
  • SAP experience required; Microsoft Office Suite proficiency required
