The Tax Analyst I reports to the Director of Finance and supports tax compliance across multiple entities, including nonprofit and for-profit organizations. This role manages multistate sales tax filings, local tax compliance, charitable registrations, annual reports, and sales tax exemption certificate management using Avalara Exemption Certificate Management (ECM). The Tax Associate also provides support for audits, VAT filings, and special tax projects, ensuring timely and accurate compliance while maintaining strong internal controls.

ESSENTIAL FUNCTIONS

Sales & Use Tax Compliance (30%)

  • Manage multistate sales tax filings using Avalara (AvaTax).
  • Reconcile sales tax data between Avalara and NetSuite to ensure accuracy and completeness.
  • Manage sales tax exemption certificates and ensure records are accurate and up-to-date using Avalara Exemption Certificate Management (ECM).
  • Research and respond to sales tax notices and jurisdictional inquiries.
  • Assist with state registrations and account maintenance.

Local Tax Compliance (20%)

  • Prepare and file local tax returns, including county, business, and occupational, business privilege, business license, nonprofit municipal income, school, and real estate taxes.
  • Maintain tracking of local jurisdiction deadlines to ensure timely submissions.
  • Respond to local tax notices and inquiries as needed.

Charitable & Corporate Compliance (15%)

  • Manage charitable solicitation registrations and renewals.
  • Prepare and file annual reports and related state compliance filings.
  • Support nonprofit regulatory documentation and compliance requirements.

Tax Receipt Administration (10%)

  • Review tax-deductible donation receipts for accuracy and compliance.
  • Approve and sign tax receipts in accordance with organizational policies.
  • Ensure receipts meet IRS substantiation requirements.
  • Maintain supporting documentation for audit readiness.

Audit & Reporting Support (10%)

  • Assist with gathering and organizing Section financial data for audits.
  • Coordinate with internal staff to ensure the required documentation is received and complete.
  • Maintain organized workpapers and supporting documentation.

VAT & Special Projects (15%)

  • Assist the Tax Manager with VAT filings and related international compliance requirements as needed.
  • Support foreign tax documentation and cross-border compliance processes.
  • Assist with special tax projects, research assignments, and process improvement initiatives.

MINIMUM REQUIREMENTS

Education

  • Bachelor's degree in Accounting, Finance, or a related field.

Experience

  • 1-3 years of tax or compliance experience.
  • Experience with multistate sales tax and local tax compliance required.
  • NetSuite ERP experience required.
  • Avalara (AvaTax/Returns) experience strongly preferred.
  • Experience with nonprofit compliance and charitable receipt processes preferred.
  • Exposure to VAT or international tax compliance is a plus.

  • Strong organizational, analytical, and problem-solving skills.
  • Ability to collaborate effectively across departments.
  • Knowledge of IRS and state/local tax regulations applicable to nonprofits and for-profit entities.

PREFERRED QUALIFICATIONS

  • Experience with tax filings for multiple entity types (nonprofit, trade association, for-profit).
  • Exposure to multistate and international tax compliance.
  • Familiarity with audit processes and supporting documentation requirements.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Hybrid work environment with a combination of office and remote work.
  • Work primarily in a professional office setting with frequent computer use.
