Job Title: Administrative Assistant
Duration: 8+ Months
Location: 46077, Zionsville, IN
Weekly Schedule: 40 hours
Shift: 8:00am-5:00pm (flexible +/- 1 hr.)
onsite Tues, Wed, Thurs
Specific skills/requirements:
- Proficiency in Microsoft Word, Excel, PowerPoint, and SharePoint
- Experience managing travel and expenses (Concur preferred)
- Experience with a Global company preferred
- Minimum 2 years' experience
- Must be motivated, able to work in a fast-paced environment, have a sense of urgency, and be able to multi-task and prioritize
- Comfortable supporting a large group (2 directly)
- Able to be discreet
- Proactive mindset vs. reactive
- Collaborative and able to work well with the group and other Admins onsite
What You'll Do
- Support SharePoint sites owned by functional leaders
- Manage calendars, appointments, and meetings for function leaders
- Manage organizational announcements and internal distribution lists
- Handle sensitive and confidential information
- Organize and plan large meetings and events, including agenda development
- Act as primary point of contact with external/internal stakeholders
- Prepare and edit documents, presentations, and correspondence
- Manage expense reports for functional leaders
- Arrange domestic and international travel; assist extended team with international travel
- Coordinate, support, and oversee special projects as needed

What Skills Would Be Beneficial
- Proven experience as an administrative assistant or similar role (minimum 1 year)
- Outstanding attention to detail and organizational skills
- Excellent verbal, interpersonal, and writing skills
- Proficient in Microsoft Word, Excel, PowerPoint, Power BI, SharePoint, etc.
- Willing and able to work overtime if requested
- Proficiency in Microsoft Teams and Concur is a plus
- Quick learner with new software and applications
- Strong problem-solving mindset
- Flexible, able to multi-task/prioritize, work under pressure, and plan ahead
- Positive attitude, works independently, and enjoys a diverse team environment
