I. JOB OVERVIEW






Job Description Summary:
The Supervisor, Materials Management position is part of the Facilities, Buildings and Grounds team within the Division of Safety & Operations at the George Washington University. This position oversees the support of the university's materials management function by maintaining inventory of goods and/or monitoring departmental inventory practices for compliance with policies and procedures. This role typically maintains inventory of items, receives surplus materials and determines future use, reports unauthorized storage areas, reviews practices and recommends cost-saving measures to users, and provides periodic routine reports on activities to management. This position refers and recommends exceptions to the Assistant Director for approval or rejection.

Reporting to the Assistant Director, Facilities, Buildings and Grounds, the Supervisor, Materials Management supports the Division's Financial Services department. This position typically oversees the process of tracking assets from purchase through disposition, warehouse/storeroom operations on all GW Campuses, stocking, labeling and distribution of equipment and supplies. The position trains and supervises a team, and is responsible for supply chain management and inventory controls. This is a management position at the university that, in addition to leading a work unit, leads and supervises staff directly, makes hiring decisions, provides coaching, training and mentoring, manages performance and determines future staffing needs.

Essential Duties and Responsibilities

  • Plan, prioritize, assign, and review the work of staff performing receiving, warehousing, inventory, and distribution activities.
  • Recruit, train, coach, and evaluate staff; participate in performance management and, as needed, corrective action.
  • Oversee purchasing of materials, supplies, and equipment, including analyzing requisitions, issuing purchase orders, and working with departments on specifications and substitutions.
  • Maintain appropriate inventory levels by monitoring usage, setting safety stock, tracking lead times, and adjusting reorder points to prevent stockouts and excess.
  • Manage receipt, inspection, and storage of incoming goods; verify against purchase documentation, resolve discrepancies, and handle damaged or defective items with vendors.
  • Ensure accurate inventory records and location control through cycle counts, periodic physical inventories, and use of computerized inventory systems.
  • Coordinate internal distribution of materials to departments, including order picking, staging, delivery routes, and returns.
  • Develop and implement procedures, work instructions, and controls for materials handling, inventory, and purchasing in line with organizational policies and applicable regulations.
  • Monitor operating budgets, P-Cards, review expenditures related to materials and warehousing operations, and identify costreduction and processimprovement opportunities.
  • Maintain a safe, orderly warehouse and loading area, enforce OSHA and organizational safety standards, and ensure staff use proper materialhandling equipment and PPE.
  • Coordinate and evaluate vendor performance, resolve delivery or quality issues, and support competitive bidding or quote processes as needed.
  • Prepare reports and metrics on inventory levels, stockouts, turns, service levels, and departmental performance for management review.
  • Use CMMS or inventory management software to manage item master data, transactions, and documentation.
  • Participate in crossfunctional projects and meetings with facilities, maintenance, finance, and other stakeholders to align materials support with operational needs.


This position is based in a warehouse or storeroom setting with frequent walking, lifting, and material handling, and regular computer and office work for purchasing, planning and documentation. May be exposed to varying temperatures, noise, and frequent equipment use. Position will include frequent lifting, carrying, pushing, or pulling materials and boxes, often in the 25-50 pound range.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a high school diploma/ GED plus 4 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Experience: Several years of progressively responsible experience in materials management, inventory control, warehousing, or purchasing, including prior lead or supervisory experience, is desired.

Skills: Leadership and team supervision, organization and planning, data analysis for inventory levels and usage, CMMS or inventory software, vendor communication and negotiation are desired.

Knowledge: Principles and practices of materials management, inventory control, and warehouse operations; basic purchasing practices; relevant safety requirements are desired.
Hiring Range $57,553.66 - $79,165.63
