The Recruitment Coordinator orchestrates the end-to-end hiring process for University and Health Clinic personnel. This role is the critical engine behind our talent pipeline, ensuring that every search is executed with efficiency and a spirit of partnership. It is an ideal fit for a talent acquisition professional who thrives in a high-touch, mission-driven environment where collaborative problem-solving and excellent service are the standards.

While this role involves minimal active sourcing and screening responsibilities, it requires a "consultant mindset"-the ability to advise hiring managers on best practices while maintaining strong communication and a seamless candidate experience.

This position may be eligible for a flexible work arrangement after 90 days, which could include a work from home option 1-2 days a week.

Essential Duties and Responsibilities

Collaborative Partnership & Teamwork
  • Strategic Liaison: Under the supervision of the Director, Human Resources, acts as the primary point of contact between HR, hiring managers, and search committees, fostering a "one team" approach to talent acquisition.
  • Onboarding Synergy: Partners closely with the HR Coordinator to execute a flawless onboarding experience and New Employee Orientation, ensuring the hand-off from "candidate" to "employee" is warm and professional.
  • Community Engagement: Represents the University at outreach events and job fairs, building external partnerships to diversify and strengthen our talent pool.
  • Temporary Staffing: Coordinates with approved agencies to ensure departmental gaps are filled quickly with high-quality interim talent.
Precision & Attention to Detail
  • Data Integrity: Manages the HRIS/ATS workflow with 100% accuracy-from position approvals and job postings to the generation of offer letters and the final closing of requisitions.
  • Compliance Stewardship: Ensures legal compliance with state and federal regulations, including VETS4212 reporting, assistance with Affirmative Action Plan development. and background check adjudication.
  • Document Management: Maintains rigorous HR records for all positions, ensuring every file is audit-ready and aligns with University policy and federal employment law.
  • Financial Accuracy: Meticulously processes employee referral bonuses and moving expense reimbursements through payroll in a timely manner.
Sense of Urgency & Process Optimization
  • Workflow Velocity: Proactively monitors recruitment activity to eliminate bottlenecks, ensuring hiring managers move through the process with momentum.
  • Resident Onboarding: Coordinates the high-volume annual Medical Resident onboarding process, meeting strict deadlines to ensure clinical continuity.
  • Continuous Improvement: Researches and implements new ATS features to reduce "time-to-fill" and elevate the candidate experience.
  • Dynamic Prioritization: Responds to shifting University needs with agility, completing annual HR surveys and special projects under tight turnaround times.

Required Education & Experience

  • Bachelor's degree or equivalent experience in a relevant field
  • Minimum 2 years' experience in recruitment and talent acquisition
Required Knowledge, Skills & Abilities
  • Relationship Management: Proven ability to build trust and influence diverse stakeholders, including university leadership, faculty, and staff.
  • HR Knowledge: An understanding of HR best practices and compliance requirements, especially as it relates to recruitment, hiring, and onboarding.
  • Operational Excellence: An uncompromising eye for detail; you catch the errors others miss.
  • Agile Mindset: The ability to manage multiple high-priority tasks simultaneously without sacrificing quality or speed.
  • Consultative Communication: Strong verbal and written skills with the ability to explain complex employment laws or HR processes in a clear, understandable way.
  • Technical Proficiency: Advanced experience with HRIS/ATS platforms and the Google Workspace/Microsoft Office suites.

Preferred Qualifications

  • Prior work experience in higher education
  • Experience in negotiating offers of employment
  • Prior experience with ADP Workforce Now or ADP Recruitment
