The Hennepin Healthcare Research Institute (HHRI) has a new opportunity for an Operations Coordinator to support our research being conducted at HCMC, a level one trauma center and safety net hospital located in downtown Minneapolis, MN. This is a 100% on site position with a customer service element. The ideal candidate for this position will hold an understanding of the academic laboratory research environment as well as a talent and interest in administrative and facility support for a health-focused research institution. POSITION SUMMARY: Specifically, this position will: -Act as a liaison between research staff, administration, and internal/external vendors to ensure the safe and smooth operation of HHRI's research laboratories -Support the HHRI Executive Leadership team as needed, with committee support, maintain harmonious relationships with internal contacts throughout the research institute and its health services parent organization, and support special projects. -Process orders for researchers according to established procedures in a timely, professional manner. ESSENTIAL JOB FUNCTIONS:
- Acts as a liaison between research staff, administration, and internal/external vendors to ensure the safe and smooth operation of HHRI's clinical and pre-clinical research laboratories.
- Ensures needs are communicated appropriately, accurately, and in a timely manner
- Liaison with HHS radiation safety officer
- Supports organizational adherence to lab standards and practices to maximize safety and operational effectiveness. Manages various laboratory inventories, manages and maintains supplies, lab ware, instruments, and equipment.
- Primary focus is on common areas and common resources, however, ad hoc novice/administrative support for individual laboratories regarding equipment and materials may be requested and is expected when necessary for safety and institutional compliance concerns.
- Serves as a resource for research personnel
- Coordinate with Laboratory Supervisor to facilitate training and guidance for the use of shared and common equipment (i.e. Autoclave, freezer, etc.)
- Serve as institutional liaison for shared institutional lab related vendors
- Coordinate leadership responses to questions and information requests; triage information to ensure that questions are answered correctly, quickly, and in a professional manner. Provide and maintain follow-up.
- Support institutional compliance, safety standards, and institutional policies
- Coordinates and tracks annual safety re-training for research staff
- Coordinates annual Allergen survey for lab personnel
- Monitors adherence to established safety policies
- Maintains safety manuals
- Maintains Laboratory safety inventory
- Maintains chemical, equipment, and freezer inventories
- Ensures appropriate documentation is updated/maintained on a continual basis
- Arranges for annual hood recertification
- Participates in and coordinates various operating and compliance committee meetings and supports HHRI directors
- Serves on various compliance related committees
- Plans agendas, takes minutes, coordinates and disseminates information
- Assures appropriate levels of confidentiality at all times
- Schedules meetings and maintain Outlook calendars
- Attends meetings and events as requested to support corporate activities (internal and external community-engagement activities)
- Coordinates lab staff and volunteers for back-up coverage and special functions (i.e., Radiation Safety, etc.)
- Performs a variety of administrative functions.
- Coordinates lab and/or office vacating process
- Performs final walk-through
- Disposal/disbursement of equipment, chemicals, furniture
- Ensure proper functioning and as necessary arranges for repair of all lab equipment, instrumentation, and facility services
- Ensures smooth functioning of daily workflow
- Conduct regular mail runs
- Receipt of dock packages and tracking/distribution when requested
- Support purchasing processes
- Identify trends from data and customer feedback, utilizing information to inform future needs and optimize prices
- Handles receiving issues concerning damaged inventory, goods, over shipments, and short shipments of items including returns to vendors
- Create standing orders for frequently purchased goods and services
- Corresponds with vendors concerning needs, operations, price changes, adjustments, cancellations, product values, product applications
- Monitor status of orders and communicate with stakeholders and leadership regarding backorders
EMPLOYMENT STANDARDS: Education/Experience: Any equivalent combination of education and experience that provides the required knowledge and skills is qualifying. Typical qualifications would be a baccalaureate degree and at least one year of experience, preferably in an academic and/or health research environment (experience with basic laboratory functions preferred). Skill, Knowledge & Ability (SKA): Requires interaction with a diverse population. Must possess strong interpersonal communication skills, and be comfortable with varying degrees of ambiguity/fluid environments. Ability to take the initiative, prioritize, organize, and coordinate a variety of functions. Displays high standards of attendance, punctuality, maintains confidentiality, and manages time effectively. Experience with Microsoft suite preferred. HHRI is an Equal Opportunity Employer
