Job Description:

The Practice Group Support Specialist is responsible for providing comprehensive administrative, operational, and business development support for the Construction & Real Estate Litigation practice group. This position supports a dynamic team of attorneys and paralegals by managing information systems, assisting with client billing, and performing essential administrative tasks. The initial training period requires an onsite schedule, 5 days in office, Monday through Friday. The anticipated work schedule will be 9AM - 5:30PM PT. A hybrid work schedule is available once training is complete.

Location: San Francisco, CA

  • Manage various aspects of document collection, creation and review, including drafting initial versions, updating content, proofing for spelling/grammar errors, redlining revisions, and preparing redacted versions of legal documents.
  • Maintain proposal systems, experience databases, form files, templates, and other departmental information warehouses.
  • Order, organize, and maintain documents and client files, ensuring proper filing and setup. Prepare correspondence and materials as directed by attorneys.
  • Manage engagement letters, including processing conflicts and new business forms, and monitor related communication for incoming clients.
  • Handle client billing workflows and support year-end collection efforts in conjunction with the billing team.
  • Support training and integration of new team members, ensuring smooth onboarding.
  • Serve as a point of contact.
  • Support business development initiatives and assist with event follow-up.
  • Coordinate department team meetings and agendas.
  • Perform other duties as assigned.

Job Requirements:
  • 0-3 years of relevant experience within a law firm setting.
  • Bachelor's degree required. Experience in lieu of a degree will be considered.
  • Excellent communication skills, both verbal and written.
  • Attention to detail with the ability to handle difficult situations and meet varying deadlines.
  • Interpersonal skills with the ability to work with personnel at all levels.
  • Strong research, proofreading and editing skills.
  • Proficient in Microsoft Office Suite (i.e. Excel and Power Point).
  • Ability to work independently with minimal supervision.
  • Demonstrated ability to handle multiple tasks concurrently.
  • Ability to thrive in a high-volume, deadline-driven work environment.
  • Willingness to learn new skills.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: San Francisco, CA: $77,000 to $110,000.

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
