Job Summary

This position supports multifaceted, cross-functional programs and portfolios by providing operational coordination, data tracking and reporting, process improvement, communications, and compliance-related support to help ensure timely, high-quality delivery aligned with Institute policies, governance requirements, and strategic priorities. This position serves as a key operational liaison among administrative leadership, faculty, staff, campus partners, and external stakeholders. This position requires independent judgment, strong organizational skills, initiative, and the ability to manage multiple priorities in a dynamic environment. This position does not include supervisory responsibilities.

Responsibilities

Job Duty 1-Manage all aspects of assigned programs and portfolios throughout the project life-cycle to ensure completion within the defined scope, quality, schedule and budget parameters; Collaborate with cross-functional stakeholders, including unit strategic committees, working groups and campus partners, to support implementation, operational execution, milestone management, and adherence to established governance requirements.
Job Duty 2-Compile, analyze and respond to data requests to facilitate the development of recommendations to address potential and existing Institute and unit-level challenges; Coordinate related operational and administrative activities, including records maintenance, documentation, meeting support, business document preparation and procurement support. Support operational and compliance-related tracking and reporting needs (e.g., data privacy monitoring, COI certification coordination, and ERM/risk documentation) in partnership with subject-matter experts.
Job Duty 3-Develop data analysis, financial modeling, and bench-marking for project
requests and program/portfolio initiatives; Support budget monitoring and financial tracking by analyzing and reporting financial and operational data to ensure alignment with approved budgets and established timelines.
Job Duty 4-Design, develop and maintain tools, processes and reporting mechanisms for portfolio management and enterprise-level tracking; Collect, verify, analyze, and communicate program, operational, and compliance-related data to monitor progress, milestones, and outcomes. Maintain tracking tools, performance metrics, and documentation in partnership with subject-matter experts; Prepare dashboards, summary reports, and data submissions for leadership review and operational decision-making.
Job Duty 5-Design, develop, manage, and disseminate program, project, and operational materials and resources, including guidance and educational content; Facilitate delivery of project/program management education and stakeholder communications using Institute-wide and approved OIT tools and platforms (e.g., Copilot, SharePoint, Teams, Slack, Institute websites and landing pages).
Job Duty 6-Facilitate cross-functional coordination with campus business units and partners to resolve implementation issues, remove operational barriers, and facilitate timely completion of program and project deliverables.
Job Duty 7-Develop, implement, and maintain operational and administrative processes consistent with Institute policies; Design and document workflows and practices that enhance program efficiency, project coordination, and consistency of execution.
Job Duty 8-Support unit-level strategic committees and cross-functional working groups by coordinating deliverables, maintaining status updates and action logs, and assisting with milestone tracking for the unit-level strategic plan initiatives and related risk/compliance support activities, as needed.
Job Duty 9-Plan, coordinate, and support meetings, events, workshops, and program activities, including logistics, materials preparation, vendor coordination, budgeting support and travel arrangement; Ensure events align with program objectives and schedules.
Job Duty 10-Perform other duties as assigned.

Required Qualifications

Educational Requirements
Bachelor's Degree in Business Administration, Statistics, Data Science or related field or equivalent combination of education and experience

Other Required Qualifications
Hours can include evenings and weekends; Conference travel may be required

Required Experience
Five to seven years of job related experience

Proposed Salary

$75,000 - $83,000 Annually

  • Strong analytical, reporting, and data management skills, including the ability to develop and maintain tracking tools, performance metrics, and operational reports.
  • Experience supporting cross-functional initiatives involving multiple stakeholders in a structured and collaborative manner.
  • Experience working with business and legal documents with attention to accuracy, compliance, and process.
  • Experience supporting compliance tracking, governance-related processes, and operational reporting.
  • Proficiency with productivity and collaboration platforms, including Microsoft 365 (e.g., Word, Excel, PowerPoint, Outlook), Copilot, SharePoint, Teams, and Slack; experience with content management systems such as Drupal is a plus.
