Job Description
Elwyn seeks a Medical Assistant to support primary care providers, medical specialists, nursing staff, and clinical leadership to ensure the effective delivery of highquality medical services for individuals supported by Elwyn. This role provides clinical, administrative, and carecoordination support across medical suites and residential settings and requires flexibility to travel between buildings to support providers as needed. The Medical Assistant plays a key role in visit preparation, clinical documentation, patient assessments, inventory management, coordination of diagnostic and laboratory services, and compliance with regulatory and quality standards. ESSENTIAL DUTIES & RESPONSIBILITIES
- Clinical & Patient Care Support
- Assists primary care providers (PCP) and specialists (including Neurology, Podiatry, GI, and other specialties) during medical visits in medical suites and residential buildings, including patient preparation, vital signs, assessments, positioning, and post visit support
- Performs and assists with clinical procedures within scope of practice, including immunizations, vision screenings, ear lavages, pelvic exam preparation, PAP/pelvic specimen handling, glucose testing, urine dipsticks, and other approved diagnostic procedures
- Obtains, documents, and records patient assessments, vital signs, and visit related clinical data accurately and timely
- Performs cardiopulmonary resuscitation (CPR) in accordance with agency trained protocols
- Visit Preparation, Scheduling & Coordination
- Prepares for provider visits by ensuring all required documentation, lab results, diagnostic studies, and prior authorizations are available in advance
- Schedules, coordinates, and tracks provider appointments, referrals, laboratory services, and diagnostic studies based on clinical urgency and provider direction
- Facilitates triage of calls and appointment requests in collaboration with providers and nursing staff
- Verifies health insurance coverage to support accurate billing and timely service delivery
- Laboratory, Diagnostics & Documentation
- Coordinates laboratory services, including scheduling, specimen tracking, retrieval and distribution of results, and maintenance of clinical logs and quality controls
- Orders diagnostic studies as directed and retrieves and distributes results appropriately
- Performs chart audits, assists with documentation requests, and supports regulatory and Department of Health (DOH) inspections
- Maintains accurate electronic and paper medical records in compliance with HIPAA and organizational standards
Routes, distributes, copies, and files medical suite documentation and faxes appropriately - Inventory, Supplies & Equipment
- Maintains inventory of medical, diagnostic, and clinical supplies across medical suites and supported programs
- Orders and tracks vaccines, PPE, COVID testing supplies, and other clinical materials as needed
- Monitors expiration dates on medications and supplies and initiates replacement orders
- Ensures exam rooms, medical equipment, and storage areas are clean, stocked, and maintained; reports equipment issues as needed
- Communication, Collaboration & Travel Requirement
- Communicates regularly with providers, nursing staff, care teams, and external vendors to support continuity of care
Travels (drives) between medical suites, residential buildings, and program locations to support providers and clinical operations as required - Answers medical suite phone lines, routes messages appropriately, and ensures timely follow up
- Participates in practice, nursing, and interdisciplinary meetings as assigned
- Administrative & Compliance Support
- Assists clinical leadership with insurance audits, prior authorizations, and regulatory reporting (including COVID related reporting, as applicable)
- Maintains required certifications, training, and compliance documentation
- Supports organizational quality improvement, compliance, and reporting initiatives
- Other Duties
- Performs other duties as assigned to support clinical operations, provider services, and organizational needs
QUALIFICATIONS
- Healthcare experience supporting clinical delivery of care; experience with individuals with intellectual and developmental disabilities (IDD) preferred
- Current CPR certification
- Knowledge of ICD 10 coding preferred
- Experience using Electronic Health Records (EHR/EMR) systems preferred
- Strong organizational, interpersonal, and communication skills
- Ability to work effectively as part of an interdisciplinary care team
- Ability to work in a fast paced environment with competing priorities
- Demonstrated sound judgment, attention to detail, and ability to work independently
- Proficiency with Microsoft Office applications (Word, Excel, Outlook)
- Must have current, valid driver's license in state of residence, two (2) years driving experience in the United States, and acceptable driving record
