RAYUS Radiology is looking for a Supervisor, Front Office to join our team. We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together! As a Supervisor, Front Office, you will be responsible for managing the Front Office Associate teams, including operations, team member management, performance management and process improvements for assigned location(s). This role ensures the Team is consistently delivering the highest level of customer service.

This is a full-time position working 40 hours per week. Shifts are during the day.

ESSENTIAL DUTIES AND RESPONSIBILITES:

(30%) Registration


  1. Greet and checks-in patients scheduled for imaging services; processes payment as needed
  2. Answer phones and handles calls in an efficient and friendly manner
  3. Field phone calls appropriately for Center Team Members
  4. Act as liaison between imaging technologists and the patients waiting for exams, and relays messages regarding scanner status and other Clinic information
  5. Maintain organization of the front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office cleanup
  6. Order office supplies as needed
  7. Maintain supply of patient information sheets
  8. Push patient imaging via electronic interfaces
  9. Complete patient appointment confirmation calls and provide preparation instructions to patients
  10. Fax/scan reports, billing information, and medical release forms as requested


(15%) Scheduling


  1. Arrange transportation, interpreters, and hotel accommodations for patients when appropriate
  2. Enter and submit patient exam orders
  3. Verify patient exam orders match exam schedules
  4. Schedule referrals and ensures proper authorizations are obtained
  5. Schedule walk-in patients
  6. Process requests for image orders and CDs from both the referring physicians and patients
  7. Maintains an up-to-date and accurate pending-scheduling list
  8. Maintain an up-to-date and accurate database of all current and potential referring physicians


(15%) Insurance


  1. Verify patient's insurance coverage
  2. Pre-certify all patient exams with the patient's insurance company
  3. Obtain insurance authorizations
  4. Apply knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain pre-authorization, if needed, prior to patient appointments
  5. Facilitate Release of Information (ROI) requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelines


(35%) Team Member Supervision


  1. Proactively provides support to team members to ensure the highest level of patient satisfaction is reached and maintained
  2. Ensures comprehensive knowledge of the company's policies and procedures for all team members
  3. Establishes team member schedules to provide for planned time off, ensuring appropriate staffing levels and appropriate Center coverage
  4. Monitor and approve timecards
  5. Participates with the manager in team member planning and the recruitment and hiring process
  6. Initiate and participate in team member performance evaluations, compensation and learning/development of team members, including performance improvement plans, disciplinary actions and/or terminations
  7. Schedule and facilitate regular team meetings and team member one-on-ones
  8. Develop and monitor the teams' performance through a quality assurance (QA) process
  9. Implements the onboarding and training program for new team members
  10. Fosters a team environment, ensuring appropriate communication between departments
  11. Creates and updates Center's information manuals as needed
  12. Evaluate workflows and implement process improvements for the team as appropriate
  13. Leads special projects and/or committees, as assigned


(5%) Completes other tasks and projects as assigned

Required:



  1. High School Diploma, or equivalent
  2. Five (5) years' Customer Service experience
  3. Five (5) years' experience in medical front office experience, with demonstrated ability to serve as a resource to others, effectively train and coach team members and identify process improvement opportunities
  4. Two (2) years' experience supervising/leading direct reports
  5. Advanced medical terminology and insurance knowledge
  6. Highly proficient in using computer systems and typing, with advanced working knowledge of Microsoft Office Suite; Outlook, Word, Teams, Excel


Preferred:



  1. Associate degree in a medical related field
  2. Bilingual
