The Records Management Specialist provides support to assigned customer/contract. Work entails processing incoming commercial and federal records, keen eye for detail, checking for legibility and completeness of records, performing quality control of records scanned, and packaging records for electronic transfer. Follows organization and department procedures to complete tasks in a timely manner. Familiar with a variety of concepts, practices, and procedures in records management. Performs a variety of complicated tasks with minimum supervision.

Job Duties

Performs reviewing, sorting, indexing, prepping, scanning, quality control, packaging, digital conversion, and other processing of documents received in a confidential, timely, and efficient manner

  • Reviews subject matter of documents to ensure accurate indexing, sorting, and digitizing of records with a focus on end-user retrievability
  • Prepares records for imaging, including but not limited to: removing bindings, staples, and bent corners, capturing color and grayscale as appropriate, capturing pencil, sticky notes, and various sized pages according to established standards
  • Scans documents using high speed scanning equipment and software to commit high-quality like-for-like images to their corresponding batches for review and digital delivery
  • Reviews digital indexes of documents and captured images to ensure accuracy and conformance to accepted quality standards
  • Works independently following detailed standard operating procedures with minimal supervision
  • Troubleshoots routine technical or workflow issues using available documentation or independent research
  • Supports records center operations including filing, retrieval, shelving, labeling, and maintaining inventory records in tracking systems
  • Supports customer service requests, including responding to email inquiries and preparing records for delivery or pickup
  • Performs pickup and delivery of records or materials between facilities or customer locations as needed
  • Performs each and every task with a safety-first focus, ensuring that safety is our priority at every step in our process
  • Performs other relevant duties as necessary to meet project goals
  • Lifting and moving containers (up to 50 pounds)
  • Operate carts, U-boats, and pallet jacks with material
  • Climbing warehouse style rolling ladders and working within records storage shelving
Requirements

Education and Experience

  • High school diploma or equivalent
  • Minimum 3 years of experience in the records management field or in a related area is required.
  • Experience working with document imaging systems, records inventory databases, or data entry workflows required.

Key Skills & Requirements

  • Must exhibit strong communications skills
  • Experience with records and/or scanning
  • Must possess excellent organizational, clerical, and time-management skills
  • Must be proficient in Microsoft Office and basic computer systems
  • Must be capable of working independently and managing assigned tasks without constant supervision
  • Must demonstrate ability to troubleshoot basic technical issues or research solutions independently
  • Valid driver's license required for records pickup and delivery duties
  • Must demonstrate a high regard for professionalism and customer service
  • Must be able to lift up to 50 lbs.
  • Must be able to demonstrate the ability to multi-task
  • Must be comfortable climbing warehouse style Rolling Ladders
  • US Citizenship required

Physical and Working Conditions

Medium work-significant degree of walking or standing, lifting up to 50 lbs. of force frequently and climbing warehouse-style rolling ladders. Individuals must be able to perform the essential functions of the job with or without reasonable accommodation.
