Position Overview
This position serves as a member of the Human Resources (HR) unit within the KU School of Business. The HR Coordinator performs a wide range of HR duties including assisting in the recruiting, screening, interviewing, and payroll processes. HR Coordinator collaborates with School's HR team to develop and implement HR best practices within the School of Business. Other primary duties include preparing and maintaining employment records, completing data analysis, and promoting a positive work culture.

Knowledge of the HR principles and regulations are essential for this role. A successful HR Coordinator will need to develop a thorough understanding of the University's payroll system, budget, and HR processes and procedures. Candidates with excellent skills in critical thinking, building relationships, and time management are encouraged to apply. This position is part of BSchool HR team and reports directly to the School's HR Business Manager.
It is a full-time, benefits-eligible, 12-month professional staff position. This position is designated primarily as on-campus with the possibility of hybrid or virtual work over academic breaks. Alternative and flexible work schedules will be evaluated as per KU policy and School guidelines.

Job Description
50%-Coordination of Human Resource Functions: Serve an active role in the coordination and implementation of HR functions within the Business School. Responsibilities will focus primarily on executing a wide array of HR processes for faculty and staff positions. Tasks may include but are not limited to:
  • Actively participate in search committees for staff positions including monitoring of applicant pools, reviewing application materials, interviewing candidates and checking references.
  • Comply with University HR policies, regulations, guidelines, and administrative practices.
  • Provide leadership, knowledge, training and assistance to others as needed throughout the process.
  • Recommend and develop tools (if needed) to enhance School's effectiveness in staff selection.
  • In collaboration with BSchool HR team, conduct new hire orientations, check-ins, stay and exit interviews for staff.
  • Author and update job descriptions.
  • Assist as directed by HR Business Manager with faculty searches and onboarding, including coordinating moving expenses and immigration support.
  • Prepare change memorandums for faculty and/or staff.
  • Coordinate and submit reappointment requests, each semester, for non-tenure track faculty.
  • Identify and recommend areas of improvement to existing processes or workflows to improve efficiency, effectiveness, customer satisfaction, key performance metrics, and/or employee morale.
30%-Human Resource Administration: Payroll, Data and Records: Audit and utilize enterprise and software systems to ensure employee records, payroll, and data are current, complete, and accurate. Extract and analyze data as required for reporting and decision-making purposes.
  • Process changes, in compliance with KU and School policies, to existing positions including changes in title, duties, compensation rate and funding. Communicate relevant changes to appropriate parties.
  • Review, approve and/or audit of faculty, staff and student payroll appointments and changes to ensure budgetary authorization has been received and payroll appointments are submitted accurately.
  • Manage additional pay transactions including payment of awards, scaled compensation, and instructional overloads.
  • Use university payroll reporting systems (e.g., OAC) to review and reconcile payroll expenses. Resolve inconsistencies.
  • Utilize university enterprise systems to extract and/or analyze HR and payroll data for use in various reports and decision-making. Some recurring data needs include: AACSB accreditation and non-tenured faculty course loads.
  • Work with BSchool HR team to maintain staff and faculty employee HR records in accordance with university record retention policies and School practices.
  • Complete other administrative tasks related to HR processes, as directed.
20%-Relations, Service, and Miscellaneous Duties: Serve as a resource for the School of Business faculty and staff for basic human resources and payroll matters. Model behaviors and encourage processes that promote a positive work culture. Duties may include but are not limited to:
  • Maintain an advanced level of professional knowledge including university, state and federal human resource policies, procedures and employment regulation to ensure School of Business is in compliance. May participate in professional organizations and networks.
  • Demonstrate independent decision making regarding routine HR questions, interpreting policies, applying regulations, and resolving work-related problems. Referring complex problems appropriately.
  • Provide administrative and strategic oversight for the Staff Enrichment and Engagement Committee (SEEC), including ensuring annual chair designation, alignment with the committee's mission, and adherence to approved budget parameters.
  • Participate as an active team member of the School staff including attending staff meetings and serving on School or University committees, as directed.
  • Promote a culture that aligns with strategic objectives.
  • Complete special short-term projects and other job duties as assigned.

Required Qualifications
  1. Minimum of Bachelor's degree in Business Administration, HR or closely related field, plus at least 1 year of related experience. OR Associate's degree or HS diploma, plus coursework or specialized certification in HR, plus 4 years of related experience.
  2. Minimum one (1) year experience with at least one HR discipline: hiring, onboarding, training, performance management, payroll, data analysis, or employee relations. Experience may be concurrent with education requirements.
  3. At least one 1 year of experience creating and using complex Excel spreadsheets or completing data analysis.
  4. Excellent written communication skills, as evidenced by application materials.

Preferred Qualifications
  1. Management, supervisory, team lead experience or other evidence of potential leadership skills.
  2. Experience in human resources or payroll in a higher education setting.
  3. Demonstrated ability to build working relations and add behavioral and/or results-based value to an organization.
  4. Demonstrated ability to prioritize tasks, multi-task and to meet deadlines under conflicting timelines, based on application materials.
  5. Strong interpersonal skills and ability to work as a team member.
