Summary

The Financial Associate provides specialized financial administration support for Clinical Trials Office (CTO) operations, with primary responsibility for Effort Reporting, CTO Core iLab management, Patient Payment processes, and financial project close-outs. This role ensures financial accuracy, compliance with institutional and sponsor requirements, and timely reconciliation and close-out of clinical and research-related financial activities. The position works closely with research administration, faculty, study teams, and central finance offices.

Primary Responsibilities
  • Serve as the primary coordinator for comprehensive Effort Reporting processes.

  • Work with Finance Team to maintain accuracy, completeness, and compliance of CTO effort.

  • Review effort data for consistency with payroll, funding sources, and project activity.

  • Communicate with managers to resolve discrepancies and ensure timely approvals.

  • Align effort and payroll data sources to create iLab invoicing structures.

  • Serve as the primary financial and administrative resource for the CTOs' Core in the iLab system.

  • Maintain service items, rates, billing structures, and user access in iLab.

  • Review and process iLab transactions, invoices, and internal charges, ensuring accurate cost allocation and documentation.

  • Monitor iLab activity and revenue, reconcile charges, and support reporting needs related to core usage.

  • Serve as primary financial reviewer for patient payment administration for clinical trials.

  • Ensure patient payments align with approved budgets, consent language and patient calendar records.

  • Maintain accurate records and documentation to support audits, compliance reviews, and reporting requirements.

  • Coordinate with study teams, finance, and compliance offices to address payment questions or issues.

  • Manage financial close-out activities for assigned studies, projects, or initiatives.

  • Work with Finance Team to reconcile accounts, resolve outstanding charges, and ensure appropriate documentation prior to close-out.

  • Prepare close-out summaries and retain records in accordance with retention and audit requirements.

  • Assist with audits, monitoring activities, and compliance reviews.

  • Identify process improvement opportunities and support development or maintenance of standard operating procedures.

  • Respond to financial inquiries from faculty, staff, and leadership in a timely and professional manner.

Knowledge - Skills - Abilities
  • Knowledge of financial operations, accounting principles, and compliance requirements within a complex organizational environment. Working knowledge of financial systems, databases, and reporting tools.

  • Strong analytical and reconciliation skills, with the ability to review, interpret, and validate financial related data.

  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.

  • Problem-solving and critical-thinking skills applied to resolving discrepancies, compliance questions, and process issues.

Qualifications

Appropriate experience may be substituted for education an on equivalent basis.

Minimum Required Education: Bachelor's degree

Minimum Required Experience: 2 years

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
