Position: Documentation & AI Content Strategy Lead

Location:Remote, US

Length:8+ Month Contract

Job Description:

We are seeking a highly organized, detail-oriented professional to lead a large-scale transformation of our documentation and knowledge management ecosystem. This role will be responsible for restructuring, standardizing, and optimizing documentation to support a transition to a new AI platform, with a focus on clean, structured, text-based content.

This role requires someone who can operate effectively in a fast-paced, evolving environment while maintaining strict document control and compliance standards. The ideal candidate will bring order to complex, distributed documentation systems and ensure content is consistently accurate, up-to-date, and AI-ready.

In addition to core documentation responsibilities, this role will support cross-functional initiatives including light project management, product-related efforts, and customer experience workflows. The individual will be expected to contribute to smaller projects, help drive execution, and collaborate across teams to improve processes and overall user experience.


Essential Duties and Responsibilities:

  • Lead the organization and restructuring of documentation to ensure consistency, accessibility, and alignment with AI consumption requirements
  • Design and implement scalable processes for managing content updates from multiple sources (Product, Engineering, Customer Experience, etc.)
  • Establish workflows to ensure the AI system is consistently updated with the most current and accurate information
  • Define and enforce version control practices, ensuring clear tracking of document revisions and history
  • Develop and manage document lifecycle processes, including creation, review, approval, publishing, and archival
  • Create processes to identify and flag newly published or updated content, including notification mechanisms for review and ingestion
  • Evaluate incoming content for format readiness and determine appropriate handling:

    • Structured, text-ready content for direct ingestion
    • Unstructured or non-text content requiring extraction, transformation, or standardization

  • Define and implement workflows for converting non-standard content into AI-ready formats
  • Ensure content progresses through defined stages (draft, review, approved, published) with proper controls and visibility
  • Maintain governance over documentation to ensure accuracy, consistency, and compliance with document control standards
  • Continuously assess and improve content management processes to support scalability and evolving AI requirements
  • Support smaller cross-functional initiatives, including project coordination, product-related efforts, and customer experience improvements


Qualifications:

  • Experience with CMS and knowledge management platforms, with strong preference forSharePoint and HighSpot, and experience working within PLM systems such asPropel
  • Strong information architecture and content organization skills
  • Experience working with or supporting AI-driven systems (e.g., LLMs, search, retrieval-based systems) preferred
  • Ability to structure content for machine readability (metadata, tagging, structured text)
  • Experience working cross-functionally with Product, Engineering, or Customer Experience teams
  • Strong written communication skills with focus on clarity and usability

Document Control & Compliance Experience (Required):

  • Experience with document control processes, including:

    • Check-in/check-out workflows
    • Revision/version control
    • Document lifecycle management

  • Experience working within a PLM system (e.g., Propel or similar) to manage controlled documents
  • Familiarity with Document Change Request (DCR) processes
  • Experience maintaining controlled documents in compliance with quality management standards


Nice to Have:

  • Project management experience (formal or informal)
  • Product or customer experience background
  • Experience leading documentation migrations or system transitions
  • Experience with AI content optimization or knowledge retrieval systems
