The US Oncology Network is looking for a New Patient Coordinator to join our team at Texas Oncology. This full-time position will support our Ft Worth, Tx clinic. Hours are 8:30a-5:00p, Monday-Friday.

What does the New Patient Coordinator do?

Under general supervision, the New Patient Coordinator is responsible for efficiently scheduling and pre-registering new patients for exams while ensuring a seamless and supportive experience. This role requires strong collaboration with clinical and administrative teams, exceptional attention to detail, and effective communication to maintain accurate patient records, verify information, and resolve routine and non-routine issues. The position follows established guidelines, contributes to workflow improvement, and supports the US Oncology Compliance Program, including the Code of Ethics, Business Standards, and Shared Values.


Responsibilities

Essential Duties and Responsibilities:

  • Responds to incoming calls with professionalism and gathers accurate information to assess patient needs.
  • Schedules new patient appointments with the appropriate provider, ensuring clear and timely communication of appointment details, directions, and pre-visit instructions.
  • Records call statistics and maintains thorough, up-to-date documentation in the New Patient Log.
  • Updates and monitors provider schedules to ensure accurate and efficient patient scheduling
  • Collaborates closely with providers, clinical teams and site leaders to accommodate urgent or complex scheduling requests.
  • Collects and verifies patient demographics, insurance information, and all required pre-visit data; enters information accurately into electronic systems.
  • Confirms insurance eligibility, benefits, co-pays, and referral authorizations in advance of patient visits to prevent delays in care.
  • Sends required medical forms and communicates expectations for completion prior to appointments.
  • Proactively follows up with patients and outside providers regarding missing insurance details, medical records, and test results, ensuring smooth coordination of care.
  • Maintains strict confidentiality and adheres to all HIPAA regulations and organizational standards.
  • Performs additional duties as assigned, including providing NPC support across the region to meet business needs and ensure uninterrupted workflow operations.

Qualifications

The ideal candidate for the New Patient Coordinator position will have the following background and experience:

  • High School diploma or equivalent required.
  • Minimum (5) years of experience working in a medical practice with referral coordination and/or scheduling responsibilities.
  • Familiarity with practice operations, daily workflows, and physician scheduling highly preferred.
  • Experience in Leading Reach, specialty practices and/or back-office operations is preferred.
  • Proficiency in EMR systems and Microsoft Office required.
  • Must complete required e-learning courses within 30 days of hire.

PHYSICAL DEMANDS:

The physical requirements include regular sitting, standing, talking, and hearing during scheduled business hours. Requires full range of body motion, manual dexterity, and eye-hand coordination. May involve standing and walking for extended periods and occasional lifting of items up to 40 lbs. Corrected vision and hearing to normal range required. Reasonable accommodations may be provided.

WORK ENVIRONMENT:

Work is performed in an oncology/hematology clinical environment with possible exposure to communicable diseases, medical preparations, ionizing radiation, and other standard healthcare conditions. The role requires regular interaction with staff, leadership, providers, and patients. Minimal travel to other office sites may be required.
