We are seeking a dedicated professional to join our client's team, where you will play a crucial role in ensuring smooth operations and empowering our primary Customer Service Representatives to focus on complex customer interactions. Your contributions will directly enhance efficiency, improve customer satisfaction, and support the seamless delivery of our premium offerings. This role is integral to the smooth functioning of our client's customer service operations. You will be at the forefront of supporting key processes, allowing the team to dedicate more time to direct customer engagement, problem-solving, and specialized support. Your organizational skills and proactive approach will be vital in maintaining high standards of service and ensuring a positive experience for all stakeholders. **Key Responsibilities:** * Process standard orders with meticulous attention to detail and timeliness, confirming order lead-times to partners via email.
* Manage finish sample set requests for customers and designers globally.
* Assist with answering emails within 24 hours and be available on click-to-chat daily to respond to inquiries from the company website.
* Authorize return goods using approved procedures, determining if products should be returned to the company warehouse or field-destroyed with proper technical team leader approval, and ensuring appropriate re-stocking fees are applied.
* Provide timely order updates, shipping information, and tracking details to associates via email or chat.
* Assist in resolving freight damage claims promptly with partners or directly with carriers, processing any necessary authorization forms with proper approval and providing commercial invoices for customs.
* Maintain a thorough understanding of all partner account information for each region and the sales agencies that represent the business.
* Generate daily reports, including, but not limited to, Electronic Data Interchange (EDI) and Daily Order Reports.
* Provide comprehensive information to potential customers regarding product availability, lead times, and literature.
* Offer general administrative and office support, including delivering mail, assisting guests, and managing office supplies to maintain a tidy environment.
* Act as an energetic and professional representative for the business, willing to assist with tasks outside the normal scope when needed. **Must-Have Qualifications:** * 2-4 years of experience in customer service or administrative work.
* Proficient attention to detail and accuracy.
* Highly organized with strong planning skills.
* Ability to adapt and pivot based on business needs and requirements.
* Demonstrated initiative and ability to self-manage after training.
* Strong communication skills, both written and verbal.
* Comfortable with technology, including computers, phones, electronics, and various software programs. **Nice-to-Have Qualifications:** * Creative thinking skills.
