Position Purpose
As part of the Project Management team, the Communications Specialist actively manages the department's external communications and provides operational support services for a variety of additional department needs and initiatives. This position will work with key internal (PM team) and external stakeholders to effectively communicate project and program information, goals, and messages across a variety of channels.

Dartmouth's Campus Services (CS) division is responsible for planning, design, construction and operation of Dartmouth's buildings, campus landscape and infrastructure. Dartmouth's facilities include over 5 million square feet of space in 165 buildings. These facilities serve over 5,600 students and 5,000 faculty and staff in a variety of academic, research, administrative, athletic, and residential spaces.

Required Qualifications - Skills, Knowledge and Abilities

  • Bachelor's degree in journalism, public relations, communications, English or a related field with skills in communications, marketing, and strategic planning.
  • Requires four years of experience in journalism, public relations, business administration, marketing or related field with experience posting and publishing through print and electronic mediums, including content management. Work requires communications, analytical and organizational skills necessary to manage and coordinate a variety of tasks. Experience working in an academic environment is preferred.
  • Proficiency with Microsoft Office suite (Word, Excel, Outlook and PowerPoint).

Preferred Qualifications

  • Familiar with building construction and maintenance practices, including bidding, contracting, accounting and insurance.
  • Capable of being mentally nimble and decisive in a fast-paced and complex environment.
  • Excellent organization and time management skills. Shows great attention to detail.
  • Excellent communication and interpersonal skills with the ability to interact with diverse College constituencies.
  • Proficiency with facilities work control systems and standard business applications.
  • Highly developed degree of confidentiality, tact, judgement, and initiative.
  • Working knowledge of Adobe Acrobat, Adobe Creative Cloud, Website Content Management applications, photography & videography and social media management.

Key Accountabilities


Description
Communications

Manage tasks associated with Project Management Services communications both with internal Campus Services staff and external partners. External partners may include capital project stakeholders, College faculty and staff, the Dartmouth-wide community, various Town of Hanover departments, and others as necessary. Responsibilities are:

  • Generate, edit/proofread, assess, and maintain written and multimedia content for Project Management communications channels and assets. This includes the department website, annual report, social media accounts, PowerPoint presentations, employee announcements/memos and SMS notifications.
  • Collaborate with Dartmouth's Office of Communications to share compelling content about Capital Projects for articles, videos, and integrated connections to multimedia and social media opportunities for Campus Services customers, the Dartmouth-wide community and beyond. Amplify and reshare relevant content published by Dartmouth's news and communications.
  • Field inquiries from The Dartmouth and other media sources and coordinate responses with the appropriate department and College stakeholders.
  • Maintain website content management system updates in partnership with Dartmouth Web Services.
  • Collaborate with project management staff to generate timely project impact notifications such as the initial Work Notice, VoxDaily updates, and utility shutdown requests. Assist staff with generation of materials for informational and directional signage related to construction projects.
  • Conduct assessment of communications efforts in terms of their effectiveness and report on stakeholder engagement semi-annually.
  • Produce high-quality presentation materials for meetings and other visual applications such as planning & zoning board presentations or building lobby display monitors.
  • Support, prepare, and coordinate with project management staff to develop materials for conference presentations, industry publications, and award submissions, collaborating with design consultants and external vendors.
  • Monitor department email accounts. Research and prepare responses to feedback directed at the department.
  • When necessary, work closely and in accordance with both Campus Services' communications team and the greater College Office of Communications to ensure functional alignment.
  • Proofreads and formats department content including procedural manuals, standard operating procedures, policies, reports, and other relevant content.
  • Interacts professionally and respectfully with senior leaders, faculty, staff, students, and other members of the College community.
  • Perform other related duties incidental to the work described herein.
