8:00 am - 5:00 pm; Monday - Friday with occasional evening and weekend hours required, as necessary.
Primary Purpose of Position
The Housing and Residence Life Assignments Specialist serves as a primary processor of critical housing transactions in the Assignments software, including profile updates, assignments (assigning student residents to Housing locations), assignment changes, and cancellations. Also responsible for the processing and billing of early arrivals, late stays, sorority vacancy charges, and department-sponsored housing. This position will use targeted occupancy reports to track and analyze meaningful occupancy changes that require action. This position serves as the primary responder to the department email account and maintains email account folders. This position also serves as a triage resource, primarily responsible for assisting customers, campus partners, and government representatives and referring them to the most appropriate personnel for issues requiring more specialized attention.
Minimum Education/Experience
Required Minimum Qualifications:

Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

Essential Job Duties

  • Provide comprehensive guidance to parents, students, and campus partners about the completion of housing applications, the assignment process, posting of charges, room changes, and cancellation processing.
  • Connect customers with essential university resources to address any matters that must be handled outside of Housing and Residence Life.
  • Coordinate early arrival processing and charges for university groups, including Marching Band, Athletics, and authorized academic programs. This will include the collection of authorization lists, coding in StarRez, notification of students, and authorizing university partners and subsequent billing associated with the early arrivals.
  • Serve as the primary responder for the department HRLMailbox while appropriately triaging messages and conducting follow-up as needed.
  • Pull targeted occupancy reports from StarRez and Banner as needed for ongoing status checks, removal from housing, and program planning
  • Work with the North Carolina Census Office representative to identify and notify students selected for monthly census interviews.
  • Process empty bed and miscellaneous charges for seven sororities in Greek Village twice per semester (midpoint and end of semester).
  • Process summer department-sponsored housing and charges for Levine Scholars, UTOP Counselors, and Orientation Counselors.
  • Processes initial assignments, room changes, cancellations of housing, and any required follow-up with other Housing team members.
  • Consistently and accurately document key information and interactions with students/parents in StarRez to ensure continuity of service.
  • Utilize information in StarRez and Banner to investigate issues and determine how to provide the needed assistance to customers.
  • Serve as the first resource for problem-solving when front-line staff/live-in staff require assistance addressing issues for customers.
  • Thoroughly research and consult with a specialist (as necessary) to provide authorized guidance and follow up to both customers and impacted team members/work unit.
  • Serve as a key housing assignments specialist for any complex inquiries from students, parents, campus partners, and housing staff.
  • Appropriately tailor communication with challenging customers to render the best outcomes.

Departmental Preferred Experience, Skills, Training/Education

  • The ideal candidate will demonstrate strong customer service, communication, and organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Experience working with housing management systems such as StarRez and Banner, processing detailed administrative transactions, and handling sensitive or complex customer concerns is highly preferred.
  • The selected candidate should possess strong problem-solving abilities, attention to detail, and the ability to independently research issues while collaborating effectively with students, parents, campus partners, and Housing and Residence Life staff.
  • Experience interpreting occupancy data, maintaining accurate records, and providing professional support in a university, housing, or student services environment is preferred.
