As a Vehicle Legalization Specialist, you will be responsible for supporting fleet licensing and registration operations across all US & Canada locations. You will play a key role in ensuring vehicle compliance with federal, state, and jurisdictional requirements related to registrations, permits, titling, and fuel tax reporting.

The ideal candidate will possess strong fleet administration knowledge, excellent organizational skills, and advanced Excel capabilities. This role requires the ability to manage detailed reporting, communicate effectively, and successfully prioritize multiple projects in a fast-paced environment.

What you'll do:
  • Assist branches and work with Holman to ensure vehicle registrations including base plates, IRP (International Registration Plan) registrations, permanent plates, and registration renewals are current.
  • Assist branch locations with questions and support related to permits, IFTA (International Fuel Tax Agreement), registration tags, and vehicle licensing requirements.
  • Prepare and maintain compliance reporting for fleet licensing and registration activities.
  • Audit IFTA reporting utilizing Geotab and telematics data to ensure proper mileage reporting.
  • Partner with telematics departments to ensure all IRP-qualified units are properly equipped with telematics devices and remain compliant.
  • Assist with initial equipment title and MSO (Manufacturer's statement of Origin) transfer.
  • Respond to high volumes of emails and internal requests in a timely and professional manner.
  • Maintain accurate fleet records and documentation across multiple systems and reporting platforms.
  • Research and resolve registration, permitting, and titling discrepancies.
  • Generate and analyze detailed reports to support fleet compliance, operational tracking, and management requests
  • Stay current on state and federal fleet licensing regulations and industry requirements.


Requirements:
  • High School Diploma or GED
  • Minimum of 3+ years of fleet experience
  • Experience supporting multi-branch or multi-state fleet operations preferred
  • Background with managing detailed administrative processes and compliance documentation
  • Proficient in MS Office, advanced Excel experience: VLOOKUP functions; data analysis and report reconciliation; managing large data sets; creating and maintaining detailed reports
  • Experience working with fleet management systems, telematic platforms, or transportation software preferred
  • Strong attention to detail and accuracy in a fast-paced environment
  • Excellent organizational and time management skills
  • Ability to prioritize multiple tasks and meet strict deadlines
  • Professional with excellent customer service, and written/verbal communication skills
  • Ability to work independently and collaborate effectively across departments
  • Problem-solving mindset with the ability to research and resolve compliance-related issues
  • Ability to handle confidential and sensitive information appropriately
