We're seeking a future team member for the role of Specialist, Executive Assistant II to join our Managed Account Solutions platform. This role is located in Berwyn, PA. In this role, you'll make an impact in the following ways:
- Provide high-level administrative support to one or more senior executives and, as needed, a broader team.
- Manage complex calendars, travel, meetings, and related logistics, including agendas, materials, and minutes.
- Prioritize competing requests, manage shifting deadlines, and exercise sound judgment in a fast-paced environment.
- Handle information with discretion, tact, and professionalism.
- Serve as a key point of contact for executives, direct reports, senior leaders, and internal and external partners.
- Draft, prepare, and distribute correspondence, reports, presentations, and other business documents.
- Assist with reporting, data gathering, and presentation preparation to support leadership needs and broader sales organization priorities.
- Research, compile, analyze, and summarize information to support executive decision-making and team needs.
- Coordinate projects, events, workshops, and conferences, including vendor and participant communications.
- Support budgeting, expense management, billing, supply ordering, and other operational or administrative processes.
- Help resolve escalated issues, anticipate needs, and proactively address administrative and operational challenges.
- Maintain organized records, filing systems, and office procedures to support efficient day-to-day operations.
- Embrace and use AI-powered tools and new technologies to improve efficiency, organization, and overall administrative support.
- May provide guidance to other support staff, assist with onboarding or training, and help coordinate team administrative activities.
To be successful in this role, we're seeking the following:
- 5+ years of total work experience preferred. Bachelor's degree in lieu of some experience may be considered.
- Tact, diplomacy and confidentiality are essential skills based on the level of internal and external contacts.
- Effective collaboration and communication skills are required, including information exchange with internal and external contacts.
- Prior experience facilitating the full range of administrative activities for a senior executive.
- Prior experience being responsible for your own quality and accurate completion of work as well as being responsible for effective collaboration with senior leaders.
- Priority experience executing longer term work/projects as requested.
- Requires ability to effectively prioritize competing requests and switch focus as needed.
- High school/secondary school or the equivalent combination of education and experience is required; bachelor's degree, AA degree or relevant business certifications preferred.
- Applicable vocational training or certifications (e.g., courses on relevant business software like the Microsoft Office Suite of products, basic business writing, or similar) preferred.
