Position Summary

Under administrative direction, an Extra Help Program Coordinator performs professional duties essential to administrative and operational support for student-facing programs and initiatives, ensuring accurate recordkeeping, coordinated communication, and smooth execution of events and onboarding activities within Academic Center for Excellence, including records management, and assisting with student onboarding. This position collaborates with staff and leadership on special projects to enhance program effectiveness and improve the overall participant experience.

Duties & Responsibilities

  • Coaching Documentation Support: Transcribe and enter detailed meeting notes into the student advising system based on coach-led sessions to ensure accurate longitudinal tracking of student progress.
  • Advising System Data Integrity: Monitor and update student records within the university's advising platform to reflect participation status, scholarship/stipend eligibility, and referral outcomes.
  • Summer Initiative Execution: Provide dedicated administrative coordination for Summer College, Summer Edge, and Orientation, assisting with the enrollment and onboarding of incoming students across these platforms.
  • Targeted Recruitment Outreach: Manage digital outreach campaigns specifically for the upcoming FLN summer cohort, responding to program-specific questions that go beyond general office inquiries.
  • Cohort Progress Monitoring: Assist the coaching team by compiling "early warning" data from student records to identify individuals who may need proactive outreach during transition periods.
  • Programmatic Resource Curation: Update and organize specialized program materials for summer workshops, ensuring content is aligned with current Academic Center for Excellence (ACE) standards and philanthropic reporting requirements.
  • Event-Specific Logistics: Coordinate the specialized staffing and material needs for high-touch events like FLN Orientation and Summer Edge bridge programs.
  • Strategic Project Assistance: Complete specialized administrative projects as assigned by the Director, particularly those aimed at smoothing the transition for the 500 new FLN students entering the network annually.
  • Other duties as assigned.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications

  1. Bachelor's degree.
  2. A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
  3. Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.
