SUMMARY/OBJECTIVES

It is the responsibility of the Fixed Income Sales Assistant to take ownership of all tasks and challenges that they encounter in the operation of their assigned position. This position is responsible for, but not limited to, working with fixed income sales staff and their customers to ensure smooth settlement of investment transactions. Support functions include phone backup, trade execution through internal trading desk, account services and security settlement coordination.

ESSENTIAL FUNCTIONS

  • Perform detail-oriented tasks and provide specialized support for the sales force and customer base
  • Manage issues arising daily concerning trade activity, market conditions, and customer care
  • Develop working relationships with trading and operations departments to promote smooth execution and delivery of securities
  • Identity and implement proper protocol for successful execution of trades
  • Maintain and encourage means in which to simplify and streamline the needs of the sales force
  • Ability to accept responsibility of unassigned duties
  • Provide fast, professional, and accurate information to the sales and trading teams
  • Research and resolve problems and take corrective action to ensure smooth operations
  • Develop and maintain quality professional relationships with customers
  • Serve as a back-up for the sales staff when they are unavailable or out of the office
  • Answer phones, send faxes/scans, make copies, and all other general office duties
  • Provide leadership to customers and coworkers through example and the sharing of knowledge and skills
  • Maintain compliance with MSRB, FINRA, and SEC regulations
  • Ensure that the Bank's policies and procedures, code of conduct, and regulatory guidelines are strictly complied with

COMPETENCIES

  • Must have strong communication skills characterized by excellent writing and speaking skills
  • Proficient with general office machines and programs to include Microsoft Office (Word, Excel, Outlook) and other software that might be utilized in the department
  • Ability to use the computer efficiently and the capacity to learn new software programs as they are rolled out by the Bank
  • Must have good knowledge of business English, including spelling and punctuation
  • Must possess basic English language skills to write and speak clearly, and effectively with coworkers and customers
  • Must be well-organized, accurate, and attentive to detail
  • Must be cooperative and willing to assist coworkers and customers on a regular basis
  • Must have effective listening skills demonstrated by the ability to listen to others talk (without interruption), understand them, and then propose solutions or make contributions based on the points made by others
  • Must possess excellent multi-tasking skills and be able to function well under pressure
  • Must be able to remain composed under pressure and respond to customer and coworker concerns regularly
  • Must have a keen eye for detail and follow instructions to the letter

Qualifications, Education, and Certification Requirements

  • Education: Bachelor's degree or equivalent work experience
  • Experience: Equivalent work experience in related field preferred
  • Certifications/Specific Knowledge: SIE, Series 7 and Series 63 exams required or the successful completion of these exams within 90 days of hire. Additional finance computer experience such as Bloomberg is beneficial. Requires strong written and verbal communication skills. Possess the ability to provide fast, professional, and accurate information. Capable of working in a fast-paced environment. Ability to consistently meet service level standards and goals. Ability to manage multiple requests simultaneously. Requires excellent customer service skills.

TRAINING REQUIREMENTS/CLASSES

Required annual compliance training, New Employee Orientation, obtain and/or maintain applicable securities licenses (FINRA Series 7, Series 63 and SIE).

PHYSICAL DEMANDS

Must be able to effectively access and interpret information on computer screens, documents, and reports. This position requires a large amount of time in front of a computer. This can be done sitting or standing with use of the right desk.

WORK ENVIRONMENT

This position is on an open trading floor with an individual workstation. This position is located in an environment that may be loud throughout the day.

Telecommuting roles no matter if hybrid or 100% full time telecommuting must have a secure home office environment that is free from background noise and distractions. They must also have a reliable private internet connection that is not supplied by use of cellular data (hot spot). Cable or fiber connections are preferred. Requirements are subject to change, as new systems and technology is delivered.

TRAVEL

Travel may be required to attend meetings as needed.
