HJF is seeking a Clinic Assistant II to perform day-to-day administrative and certain clinical duties to a medical clinic, hospital unit or clinical trials program under the direction of medical staff. Administrative duties may include scheduling appointments, maintaining medical records, billing, and coding information for insurance purposes. Clinical duties may include taking and recording vital signs and medical histories, preparing patients for examination, drawing blood and administering medications as directed by physician. This position will be in support of Murtha Cancer Center Research Program (MCCRP) and Center for Prostate Disease Research (CPDR), USU Walter Reed Surgery. The CPDR is an interdisciplinary translational cancer research program of the USU Department of Surgery, the Walter Reed National Military Medical Center (WRNMMC), and the Murtha Cancer Center Research Program (MCCRP). CPDR is a Department of Defense designated research and clinical care center established by the U.S. Congress in 1991 to care for military service members and their families diagnosed with prostate cancer and prostate-related disease. The mission of the CPDR is to conduct state-of-the-art clinical, epidemiologic, and biomedical translational research with an emphasis on precision medicine to enhance the readiness of active-duty personnel in conjunction with the continuum of medical care for military retirees and beneficiaries. The CPDR also enriches the training of the next generation of physicians/scientists who directly benefit the quality, outcomes, and stability of the military health care delivery system. The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. - Answers and manages incoming telephone calls, takes and delivers messages, and provides professional assistance and information to patients, providers, staff, and external callers in a timely manner.
- Coordinates front desk operations and assists with maintaining efficient patient flow for a high-volume multidisciplinary clinical research clinic.
- Schedules, reschedules, confirms, and coordinates patient appointments, procedures, referrals, and related clinic activities using MHS GENESIS and other applicable systems.
- Assists with coordination and administrative support of multidisciplinary clinic sessions, including preparation of clinic materials, patient scheduling support, and coordination of clinic workflow activities.
- Maintains and updates departmental files, electronic records, tracking logs, spreadsheets, databases, presentations, and shared clinic resources.
- Assists with preparation of reports, meeting materials, correspondence, presentations, and other operational and administrative documents as needed.
- Maintains supervisor and provider calendars and assists with scheduling meetings, conferences, and clinic-related activities as necessary.
- Assists with organizing, initiating, and completing departmental and operational projects in support of clinic activities and organizational priorities.
- Provides administrative and operational support to providers, nursing staff, research staff, and clinic leadership to ensure continuity of clinic operations and patient services.
- Assists with maintaining office supplies, clinic forms, educational materials, and other departmental resources necessary for daily clinic operations.
- Performs typing, proofreading, data entry, scanning, filing, and other clerical and administrative support duties as assigned.
- Demonstrates professionalism, strong customer service skills, effective communication, and the ability to work collaboratively in a fast-paced clinical environment.
- Maintains reliable attendance, punctuality, and proactive communication to support continuity of clinic operations and patient care activities.
- Demonstrates flexibility and teamwork in assisting with clinic coverage needs, operational priorities, and workflow adjustments.
- Completes and maintains all required organizational, hospital, compliance, and role-specific trainings within established deadlines.
- Adheres to applicable WRNMMC, DHA, HJF, HIPAA, Joint Commission, and departmental policies, procedures, and standards.
- May perform additional duties and responsibilities as assigned by the supervisor in support of clinic, research, and operational needs.
Education and Experience
- High school diploma or GED required; Associate's or Bachelor's degree preferred.
- Minimum of 3-5 years of administrative, clinical administrative, healthcare support, or customer service experience required.

- Demonstrated ability to maintain dependable attendance, punctuality, professionalism, and effective communication in support of clinic operations and patient care activities.
- Excellent verbal and written communication skills with the ability to professionally interact with patients, providers, military personnel, research staff, and external collaborators.
- Strong customer service skills and ability to work effectively with a diverse patient and professional population in a fast-paced clinical environment.
- Ability to effectively prioritize, multitask, and manage competing responsibilities while maintaining attention to detail and organizational accuracy.
- Proficiency in Google Suite and Microsoft Office applications including Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to learn and effectively utilize electronic medical record systems, scheduling systems, databases, and other administrative software platforms, including MHS GENESIS.
- Strong organizational, clerical, administrative, and time-management skills.
- Ability to maintain confidentiality and handle sensitive patient and organizational information in accordance with HIPAA and institutional requirements.
- Ability to work both independently and collaboratively as part of a multidisciplinary clinical and research team.
- Knowledge of proper grammar, spelling, punctuation, proofreading, and professional business correspondence.
- Ability to maintain flexibility and adapt to changing operational priorities, clinic schedules, and workflow demands.
- Ability to exercise sound judgment, professionalism, and initiative in daily clinic operations.
- Ability to accurately enter and maintain data, reports, schedules, and tracking logs.
- Typing proficiency and general computer literacy sufficient to support daily administrative and operational responsibilities.
- May require U.S. Citizenship and the ability to obtain and maintain a T3 Secret Clearance. Candidates with a current T3 Secret Clearance are highly preferred.
Physical Capabilities
- Ability to sit, stand, walk, and work at a computer workstation for prolonged periods.
- Ability to occasionally lift, carry, move, or transport office supplies, files, and clinic materials consistent with routine administrative operations.
- Ability to navigate clinical and office environments within a hospital setting.
Work Environment
- This position is primarily performed within a fast-paced clinical and administrative environment located at WRNMMC and may involve frequent interaction with patients, providers, clinical staff, military personnel, and research personnel.
Compensation
- The hourly pay range for this position is $19.33-$30.76. Actual hourly pay will be determined based on experience, education, etc.
