Office Administrator, College of Education Job SummaryReporting to the Assistant to the Dean, this position provides essential administrative support to the College of Education Office of the Dean. This role plays a key part in organizing the daily operations of the Dean's Office, managing administrative functions, and coordinating the Dean's calendar and activities, while regularly engaging with departmental and university leadership and staff. Duties & Responsibilities Office Administrative Responsibilities * Provide front-line service for the administrative teams within the Dean's suite; Dean's office, Finance, and Human Resource teams. Greet visitors, answer incoming phone calls; determine and execute a course of action, delegate tasks, take messages or redirect as necessary. * Update select College of Education calendars and approve room and parking reservations for Dean's office spaces. * Coordinate the inventory and ordering of office supplies for the Dean's Office suite. * Maintain the general Education Dean email account, interpreting inquiries, redirecting requests, and providing timely responses consistent with office and College policies and procedures. * Update and maintain Dean's Office contact lists and update College website directory pages. * Facilitate purchasing for the Dean's Office using T-Cards and/or P-Cards and travel and event reimbursements via Emburse Enterprise; serve as a proxy for the Dean. * Meeting and Committee Support: o Under administrative direction, responsible for the coordination and implementation of College Faculty and Staff Meetings, including agendas, Unit Updates, PowerPoints, and needed communications. o Represent the Dean's Office; schedule meetings, send agendas, and record minutes for the following committees: * College Executive Committee, including follow-up on action items. * Faculty and Staff Awards Committee, including calls for nominations, and the coordination of nominations. * Administrative Council, including follow-up on action items. * Diversity, Equity & Multicultural Education (DEME) Committee o Occasionally provide administrative support for other appointed committees. * Under administrative direction, provide oversight and coordination of student worker(s), including hiring and dismissal, as well as delegating and monitoring assigned duties. * Serve as a collaborative member of the Dean's Office administrative team and perform additional appropriate duties that will further the mission of the College. Administrative Support to the Dean * Under administrative direction, provide administrative support to the Dean to coordinate and facilitate administrative functions to ensure daily operational needs are met. * Under administrative direction, responsible for the Dean's schedule; including prioritizing and managing the calendar, scheduling meetings and appointments in the College and across campus, inviting and notifying meeting participants, and requesting agenda items for meetings. * Apprise the Dean and/or affected staff of upcoming meetings, action items, and deadlines. * Under administrative direction, organize modes of transportation for simple and complex travel for the Dean. Book travel, process insurance, arrange trip details, and prepare itineraries. Submit the Dean's travel schedule to the Provost's Office for approval prior to travel and process reimbursements following travel. * Under administrative direction, draft and send routine emails on behalf of the Dean, as well as technical correspondence that represent knowledge of the activities of the Dean and/or the policies of the College. This is a 100% full-time Civil Service 3253 - Office Administrator position, appointed on a 12-month basis. The expected start date is as soon as possible after closing.
