Job Summary

Perform administrative duties for an individual top executive, group, or department. Prepare reports, meeting minutes and correspondence. Create and edit documents, spreadsheets, and presentations. Manage schedules, arrange appointments and itineraries. Coordinate meetings, travel, conference calls, and complete expense reports. Answer and transfer phone calls. Remain knowledgeable of business unit policies. May make contacts of a sensitive, complex, and confidential nature. May work for one or several department professionals, division heads, officers, or managers. Highest-level support. Performs advanced tasks under minimal supervision.

This position will interact on a consistent basis with: Executive leadership, Faculty, Staff, Students, and callers/visitors

Responsibilities

Job Duty 1 -
Manage the daily activities of the Leader/Executive, including full responsibility for calendar management/scheduling and prepare necessary documentation, as required, for upcoming appointments, meetings, travel, events, and documents requiring the Leader's/Executive's presence

Job Duty 2 -
Maintain financial record keeping and reporting, coordination of communications, event planning and human resources administration for the unit

Job Duty 3 -
Provide advice and recommendations to senior leadership and management officials concerning policies, initiatives, and operational matters/issues

Job Duty 4 -
Participate in budget preparations and maintains the budgetary account

Job Duty 5 -
Track assignments, budget, and tasking for senior staff assigned to the Executive, and report status on major initiatives and special assignments

Job Duty 6 -
Complete and submit spend authority requests and expense reimbursement requests along with coordinating travel schedules and itineraries; oversee office invoices including reconciliation of charges

Job Duty 7 -
Develops presentations, briefings, documents, and reports

Job Duty 8 -
Develop agenda and plan and coordinate meetings, conferences, and events

Job Duty 9 -
Hire, evaluate and oversee personnel matters related to the departmental administrative staff; coordinate and conduct training and development of new employees and student assistants

  • Advanced strategic calendar and priority management skills, including proactive conflict resolution, protection of executive focus time, and intentional sequencing of engagements.
  • Demonstrated experience supporting executive readiness for meetings and reviews, including coordinating preparation with internal teams, tracking recurring meetings and commitments, ensuring follow-through on action items, and maintaining continuity across ongoing engagements.
  • Proven experience serving as a trusted partner to senior executives, exhibiting excellent judgement and discretion, with authority to exercise independent judgment on priorities, scheduling, issue spotting/risk management, and communications.
  • Strong institutional and political savvy, with the ability to represent executive leadership credibly and diplomatically across senior administrators, faculty leaders, and external stakeholders.
  • Experience supporting leadership in complex, mission-driven environments (e.g., research universities, research administration, healthcare, government, or similarly regulated organizations), with high discretion and risk awareness.
  • Capability to support and strengthen office operations through reinforcement of norms and workflows, mentoring or guiding less experienced staff, and identifying process gaps to improve efficiency.
  • Strong service orientation and comfort operating in a fast-paced, complex research environment, with a genuine appreciation for the academic enterprise and an affinity for engaging across a multi-mission university in support of research excellence.

    SKILLS
  • This job requires advanced knowledge and skills in executive office administration, time management, problem resolution, customer service, supervision, and communication (written and verbal). Included is the use of office related and specialized computer applications.
  • Must possess a strong personal code of ethics, including maintaining confidentiality; ability to adapt to quickly changing circumstances and handling multiple tasks simultaneously. Ability to work independently and take initiative.
  • Strong verbal and written communication are required and the ability to identify and solve complex problems, including the ability to anticipate various outcomes, is a must.
