About the College/Unit/Department
The College of Engineering at the University of Georgia is one of the fastest growing programs at UGA and one of the fastest growing public colleges of engineering in the nation. Since our founding in 2012, enrollment in the College of Engineering has grown to over 2,400 students. Position Summary
The College of Engineering at the University of Georgia wishes to appoint a part-time Program Specialist under the Institute for Resilient Infrastructure Systems ( IRIS), at the College of Engineering's School of Environmental, Civil, Agricultural and Mechanical Engineering ( ECAM). This part-time, hourly position will work with IRIS staff, students, faculty as well as stakeholders and campus partners on IRIS initiatives.

This position entails coordination, organization and implementation of all logistics functioning in a variety of areas including: workshop coordination, research support, and knowledge transfer. The position will support a wide set of projects in coordinating workshops and meetings and community engagement. This includes agenda settings, invite management, and logistical support. In addition, the position will support the managing director, IRIS director, and communications team in managing day-to-day operations of the institute via coordination and executing administrative tasks, supporting document creation and distribution, and other tasks as needed.

The position will also entail financial management tasks including preparing/processing purchase orders, check requests, travel requests, expense statements, travel reimbursements, and will advise faculty and graduate students on appropriate policies and procedures; managing the IRIS calendar and scheduling meetings, interviews, travel, etc. This position will also provide backup support to other staff within the Institute as needed.

  • Strong interpersonal and communication skills with a customer service focus.
  • The ability to work independently and resolve common problems.
  • Knowledge of institutional policies and procedures related to projects and funding.
  • Ability to establish and maintain effective working relationships with university personnel, state, federal agencies and private organizations.
  • Knowledge of USG/UGA financial system and functions such as PO's, check requests, travel, reimbursements, etc.

  • Plans and coordinates IRIS workshops, meetings, conferences, interviews, and community engagement outreach activities.
  • Creates and shares agendas with appropriate parties.
  • Creates calendar invites, flyers, and manages RSVP's.
  • Oversees reservations, catering and logistical support for IRIS events.
  • Communicates information and updates to event attendees, presenters and vendors.
  • Serves as day of contact for event/meeting logistics, set up, tear down, etc.

  • Supports the mission-critical work of the IRIS Managing Director and IRIS Director, including but not limited to office and external communications, managing day-to-day operations of the institute, coordination and executing administrative tasks, document creation and distribution, collaborating with IRIS and external stakeholders, and other tasks as needed to support IRIS initiatives and projects.
  • Represents IRIS, the College of Engineering, and the University Of Georgia at IRIS/campus/external functions as needed, and via professional written and verbal communications.
  • Serve as a backup to IRIS Staff as needed for proxy functions in meetings/events.

  • Coordinates with grad students, staff, faculty, vendors, and stakeholders on administrative and financial tasks including preparing/processing purchase orders, check requests, travel requests, expense statements, travel reimbursements.
  • Stays abreast of UGA and USG policies and procedures in order to accurately advise faculty and graduate students on appropriate policies and procedures.
  • Maintains general day to day functionality within office and for IRIS team to ensure institute's goals and mission, vision, programs and projects are moving forward with needed supplies, supports, and resources.

  • Communicate regularly and in a timely fashion with project PI's regarding research and meeting activities, deadlines, and updates.
  • Communicate with IRIS Leadership on a daily/weekly or as needed basis in regards to logistical, program or project support updates/barriers to success.
