- Communicate effectively and professionally with Executive Leaders to keep them informed of upcoming commitments and responsibilities
- Screen incoming phone calls (determining level of priority), e-mail messages and handle wide-range information dissemination as necessary
- Maintain and manage complex and detailed calendars in Microsoft Outlook
- Gather and format information into confidential correspondence, presentations, reports, and dashboards
- Meet deadlines with multiple tasks and projects in a fast-paced, quickly changing environment
- Maintain an organized filing system of electronic documents
- Direct complex and confidential preparation of records such as agenda, notices, minutes, and resolutions for department meetings
- Lead the planning and organizing of in-person and virtual meetings including All-Hands and Town Hall meetings and special events to include reserving rooms, ordering catering, and coordinating with on-site / off-site facilities and IT
- Build effective relationships with internal/external stakeholders
- Coordinate with other functions within the company on document signature requests
- Maintain strict confidentiality with all matters and manage dissemination of personal information
- Arrange complex and detailed travel plans and itineraries following security processes; prepare and submit expense reports for travel reimbursement
- Manage procurement card expenses and coordinate invoice approvals
- Greet guests including vendors, customers, and other professionals for office visits
- Update and maintain organizational charts, electronic records, and confidential files
- Maintain professional relationships with the other executive assistants who support the Executive Leadership team; act as a back-up as necessary
- Provide team updates on events happening within GDLS
- Complete daily, weekly, and monthly tasks, reports and projects
- Additional Ad Hoc requests from Leader(s)
Requirements
- Education: Bachelor degree; may substitute experience in lieu of degree
- Required Experience: 10+ years of related administrative or Executive Administrative Assistant experience
- Ability to maintain confidentiality
- Multi-tasking and prioritization
- Must be able to meet deadlines in a fast-paced quickly changing environment
- Demonstrate a proactive approach to problem-solving with strong decision-making skills
- Professional level verbal and written communications skills
- Excellent interpersonal skills
- Demonstrated initiative and willingness to run with projects with minimal supervision or guidance
- Proficient (Intermediate/Advanced) with MS office suite including Outlook and Teams
- Experience with Concur (or other expense reporting system)
- Location: Sterling Heights facility / 100% in office
