Workplace Operations Manager

The Manager, Workplace Operations reports to the Senior Manager, Workplace Operations and is responsible for overseeing the day-to-day office operations of the NYC Headquarters location (Financial District), the Brooklyn Photo Studio and the Newark, NJ office location.

In this role, you will be the leader of all things office related. This includes managing all office needs such as requests, maintenance, and improvements. You'll be responsible for strategic projects including streamlining office procedures and working in close partnership with building management and our internal safety and security teams. You will be energized by this role if you enjoy working with autonomy, partnering with key stakeholders across multiple departments including the executive team, Human Resources and the Business.

You will...

  • Lead workplace operations for the following assigned locations: NYC HQ, Brooklyn Photo Studio and the Newark, NJ Office
  • Manage a team of frontline employees at assigned locations
  • Oversee and support administrative duties in the office to ensure that the office is operating smoothly.
  • Be the liaison of facility operations, maintenance, and security in partnership with Real Estate and Health & Safety teams

  • Own the physical employee experience at the assigned locations, working with onsite leaders to ensure the productivity and engagement of all employees
  • Establish and maintain relationships with third parties/vendors, inclusive of sourcing vendors, guiding through the legal & finance onboarding process, as well as review and approval of all invoices, proposals, and other service provider submittals
  • Source and oversee facilities maintenance & supply needs for the company including placing orders for all consumables as needed
  • Be responsible for tracking against our quarterly budgets
  • Achieve cost savings at budget, through maximizing utilization of suppliers and preferred vendors/contractors and by identifying efficiency opportunities across all offices in our purview
  • Keep accurate records of all necessary information pertaining to purchases and budgets and submit monthly expenses through Concur & Oracle
  • Be the primary point of contact for onsite emergencies- including after hours, weekends and any urgent needs; working independently to problem solve, escalating issues only as needed.
  • Organize special office or department activities such as company events, staff appreciation activities, and office moves
  • Spot inefficiencies, design and manage process improvements to achieve operational excellence for the Workplace Operations team
  • Track success metrics against departmental OKRs to continuously improve business outcomes.

  • The ability to independently problem solve for a myriad of issues and concerns
  • Proactive and intuitive, enabling you to recognize the needs of the office and employees prior to requests
  • Willingness to be self-directed, with a knack for solving problems and spotting inefficiencies
  • Self-directed and confident in your decision making abilities
  • A strong advocate for company culture & employee experience
  • Esthetics are important, and you have a great eye for detail and organization, with very high standards for a neat and organized office.
  • Okay with getting your hands dirty (literally and figuratively!)
  • Exceptional with communication skills, communicating information clearly and effectively across the team and function and with the professional savvy of communicating at all levels
  • Ability to multi-task and handle unexpected changes and challenges
  • The ability to thrive in a fast-paced workplace with rapidly changing priorities

At minimum, you have...

  • 5+ years experience in a similar role
  • 2+ years experience as a manager
  • Bachelor's degree preferred, but not required - equivalent work experience considered
  • Experienced with planning and coordinating large-scale team events
  • Proven experience in all Google Suite applications with proficiency in Google Suite, MS office applications, Slack, Zen Desk, Envoy or other similar facilities system
  • The ability to lift up to 30 pounds
