BASIC PURPOSE


The Staffing Solutions Manager leads and oversees the daily operations of the staffing specialist team within the company's per diem and homecare staffing solutions. This role ensures that client facilities/programs are consistently staffed with qualified healthcare professionals, while balancing efficiency, compliance, and client satisfaction. The Manager serves as the key point of contact between staffing specialists, sourcing teams, healthcare professionals, and client facilities to ensure seamless scheduling and high-quality service delivery. In addition to managing daily operations, the Manager supervises, mentors, and supports staffing specialists to ensure performance standards and service levels are consistently met. This includes providing training, coaching, and professional development to strengthen scheduling accuracy and service levels, while fostering a collaborative and client-focused team culture that supports both employee growth and client satisfaction.



ESSENTIAL FUNCTIONS




  • Develop and execute a high-volume staffing accountability effort through established KPIs.
  • Interview, hire, train, manage, and evaluate team performance while fostering engagement and accountability.
  • Provide coaching, feedback, and disciplinary action as needed, in alignment with company procedures.
  • Lead regular team meetings to cascade company information, review performance, and promote collaboration and development.
  • Share best practices across teams and encourage the adoption of new technologies to improve efficiency.
  • Implement clinician engagement and retention strategies, and proactive outreach to reduce turnover and support long-term placement success.
  • Lead the timely fulfillment of per diem, homecare, and local contract positions by minimizing time-to-fill with qualified healthcare professionals.
  • Coordinate with sourcing teams to attract, place, and retain clinicians, caregivers and non-clinical staff across multiple specialties to meet current and projected client needs.
  • Manage urgent and last-minute staffing needs, ensuring timely communication with clients.
  • Manage the full staffing process, including scheduling, credentialing support, and retention strategies, while ensuring compliance with company policies and healthcare regulations.
  • Monitor staffing levels and proactively address gaps to maintain consistent client coverage.
  • In collaboration with Finance Team, review and establish competitive pay and bill rates to balance staffing, retention, and profitability.
  • Collaborate with leadership to forecast staffing needs based on client contracts, seasonal trends, and projected demand, ensuring an adequate talent pipeline.
  • Partner with hospitals, healthcare facilities, and PACE programs to deliver customized staffing solutions.
  • Join AM/Sales when required on client visits, focusing on top accounts, to ensure satisfaction and identify opportunities for expanded services.
  • Build strong relationships with client facility unit/staffing managers, nursing supervisors, and as applicable HR contacts to understand staffing requirements and expectations.
  • Ensure positive experience for healthcare professionals by providing clear communication, fair scheduling, and responsive support.
  • Serve as the point of escalation for staffing-related client issues or service delivery, ensuring prompt resolution and communication in collaboration with Account Management and Sales.
  • Collaborate with sales, marketing, and sourcing teams to develop strategies that grow market share, revenue, and gross profit.
  • Stay informed about industry trends, competitor activity, and regulatory changes to adjust staffing strategies effectively.
  • Manage pay and bill rate alignment with margin goals, ensuring staffing strategies meet financial objectives while maintaining competitive market positioning.
  • Ensure all staffing practices align with company policies, service standards, CMS guidelines and applicable regulatory bodies.
  • Collaborate with payroll, billing, and credentialing teams to maintain operational accuracy and consistency.
  • Implement quality assurance measures, audits, and corrective actions to maintain high service standards.
  • Partner with credentialing and compliance teams to monitor turnaround times, address barriers/challenges and ensure healthcare professionals meet all readiness requirements before placement.
  • Maintain accurate records of schedules, timesheets, and staffing agreements for audit readiness.
  • Track fill rates, overtime usage, client satisfaction, and staffing specialists' productivity; use data to improve staffing effectiveness.
  • Forecast staffing demands based on historical trends, seasonal surges, and new client contracts.
  • Recommend and implement process improvements, tools, and technologies to optimize staffing operations, response time and enhance the healthcare professional and client experience.

QUALIFICATIONS



  • Minimum of 5 years of experience in recruitment, account management, or healthcare staffing, including at least 3 years in a leadership role with P&L responsibility.
  • Proven ability to drive fulfillment, achieve financial objectives, and support growth in a healthcare staffing environment (homecare, per diem, or similar settings preferred).
  • Strong leadership and team management skills, with experience coaching, mentoring, and developing high-performing teams.
  • Demonstrated ability to build and maintain strong clinician, client and stakeholder relationships.
  • Excellent communication, negotiation, and interpersonal skills, with strong problem-solving abilities and the ability to react quickly in critical situations.
  • Ability to manage competing demands and fluctuating priorities with a positive, solutions-focused approach.
  • Solid understanding of healthcare regulations, compliance requirements, and credentialing standards (PACE and CMS experience a plus).
  • Proficiency in Microsoft Office Suite and staffing/ATS systems; bilingual skills preferred.



Education: High School diploma required; Bachelor's degree in Business, Healthcare Administration, Human Resources, or related field preferred.
