HJF is seeking a Sr Grants Specialist to provide expert support to USU faculty, staff, and students to ensure that sponsored projects are reviewed, approved, submitted, awarded, and executed in accordance with Federal, DoD, USU, and sponsor policies.

This position will be in support of the Uniformed Services University, Office the Vice President for Research; Research Administration - Sponsored Programs.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.


  • Pre-Award Support: Review proposals for financial consistency, regulatory compliance, and appropriate institutional commitments. Facilitate the proposal preparation process, including budget development to ensure appropriate costs and adherence to sponsor requirements.
  • Post-Award Coordination: Manage accepted awards and all required post-award actions permitted within the award terms and conditions. Ensure the proper closeout of grants in accordance with Federal regulations and University policies.
  • Regulatory Oversight: Maintain expert-level knowledge of federal regulations (e.g., Uniform Guidance - 2 CFR Part 200), state laws, and private foundation requirements.
  • Policy Implementation: Review and maintain existing Standard Operating Procedures (SOPs) for grants management, formulating new procedures as required.
  • Financial Oversight: Conduct financial and programmatic reviews to measure program effectiveness and compliance with sponsor terms.
  • Database Management: Maintain accurate fiscal data in institutional grants management systems (e.g., Kuali) and generate statistical reports for senior leadership.
  • Auditing: Perform regular audits of stored data and provide high-level management with interpretation of review results and potential improvements
  • Training: Train new grants management staff and assistants in day-to-day duties and system usage.
  • Stakeholder Engagement: Advise Principal Investigators (PIs), program managers, and finance staff on award management best practices.
  • Serves as a liaison between the sponsor and PI to communicate award administration issues and seek approval on required actions.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Education and Experience

  • Bachelor's Degree.
  • Minimum of 6-8 years experience required.

Required Knowledge, Skills, and Abilities

  • Knowledge of research administration including Uniform Guidance, federal sponsor Terms & Conditions.
  • Ability to gather and analyze large amounts of narrative and statistical information to resolve complex grants administration problems.
  • Acute attention to detail to ensure the accuracy and integrity of all grant-related data including comprehensive knowledge of budgetary methods, practices and processes.
  • Strong computer skills, including the use the Google Suite, research administration systems, and AI agents to support research administration requirements.
  • Comprehensive knowledge of budgetary methods, practices, procedures, and precedent decisions.
  • Strong written and oral communication skills to articulate grant requirements to investigators and interact with senior executives and sponsor representatives.
  • Ability to obtain and maintain a T1 Public Trust background check.

Licenses and Certifications

  • Clinical Research Administrator (CRA) preferred.

Physical Capabilities

  • Ability to sit for prolonged periods.

Work Environment

  • This position will take place primarily in a remote setting.

Compensation

  • The annual salary range for this position is $77,600-$114,000. Actual salary will be determined based on experience, education, etc.
