Job Title: UME Curriculum Coordinator - DOCS & Traverse

Job Summary:

This position is responsible for supporting the day-to-day operations of the DOCS and Traverse medical education programs by ensuring curriculum activities are executed accurately, efficiently, and consistently. The role coordinates multiple courses, faculty members, schedules, and systems simultaneously to support the successful delivery of educational experiences. Key responsibilities include building and validating course schedules, uploading and maintaining learning materials, providing logistical and technical support for curriculum sessions, and serving as a reliable point of contact for faculty and students. Success in this role requires strong organizational skills, attention to detail, and the ability to manage interdependent tasks while adhering to established processes and timelines.

This position is ideal for individuals who thrive in a structured, detail-oriented environment and enjoy coordinating complex operational activities across multiple stakeholders and systems. While the role requires independent management of daily responsibilities and strong follow-through, it operates within established guidelines and receives guidance from senior staff rather than requiring independent program ownership. The position also offers opportunities to identify and recommend incremental process improvements while building valuable skills in academic and program operations.

Key Responsibilities:

Course Planning, Development, and Coordination for DOCS (50%)

  • Attends planning sessions for curriculum groups to record actionable meeting minutes, collects resources and stores them in centralized repositories, and conducts follow-up on action items to ensure their timely completion.

  • Manages shared curriculum inboxes, triaging and responding to high-volume requests with accuracy and professionalism.

  • Confirms session schedules with DOCS and Traverse faculty. Builds, validates, and publishes course schedules, ensuring accuracy and completeness across systems.

  • In coordination with other curriculum coordinators, uploads and audits course materials in Canvas/Oasis to ensure accuracy, completeness, and alignment with faculty expectations.

  • Supports co-coordinator to ensure curriculum materials for each session are available to students in a timely and consistent manner, according to faculty specifications.

  • Supports co-coordinator in managing assignments and grading, reporting late, missing, and incomplete assignments to faculty and grading committee as required.

  • Communicates with faculty stakeholders regarding scheduled learning events, student attendance, and grading requirements.

  • Builds and maintains accurate planning documents in DOCS and Traverse file systems.

  • Helps coordinate the scheduling of rooms and event spaces for on-campus curriculum events.

  • Creates, sets up, and communicates online learning details for remote learning sessions.

Course Planning, Development, and Coordination for Traverse Curriculum (15%)

  • Attends planning sessions for curriculum groups to record actionable meeting minutes, collects resources and stores them in centralized repositories, and conducts follow-up on action items to ensure their timely completion.

  • Confirms session schedules with Traverse faculty and the CAPE team. Builds the course schedule in advance of each Traverse week and ensures it is published to student schedules.

  • Following best practices outlined by the Anatomy team, assigns students to specific donors for practical's during Traverse 2, 3, & 4.

  • In coordination with other curriculum coordinators, assists in uploading and auditing all course materials in Learning Management System (Canvas/Oasis) for Traverse programs.

  • Communicates with faculty stakeholders regarding scheduled learning events, student attendance, and grading requirements.

  • Builds and maintains accurate planning documents in Traverse file systems.

  • Helps coordinate the scheduling of rooms and event spaces for on-campus curriculum events.

  • Creates, sets up, and communicates online learning details for remote learning sessions.

  • Procures supplies needed for anatomy practical assessment kits and oversees the creation of tagging kits according to Anatomy team specifications.

Live Session Set Up and Support (15%)

  • Provides day-of support for assigned curriculum sessions across the Trek curriculum.

  • Supports co-coordinator in the collection of necessary resources, course printouts, and other supplies to ensure each session is correctly supplied for student learning.

  • Greets guest faculty and assists them in navigating the campus and finding their assigned rooms.

  • Learns IT functions of common learning spaces on campus to provide real-time trouble shooting for faculty and students.

  • Assists in the capturing of student attendance, reporting results to faculty leadership as required.

  • Attends live Zoom learning sessions and provides administrative support for small group breakouts, recordings, and technical functions (like screen sharing).

  • Resolves scheduling issues in collaboration with faculty in the event of instructor or facilitator absence.

UME Administration (20%)

  • Develops cooperation and cross-functional teamwork while participating in a group; working toward solutions which generally benefit all involved parties.

  • Establishes and then documents best practices and standard operating procedures relevant to core work responsibilities.

  • Supports Office of Medical Education events and curriculum sessions as needed.

  • Adheres to University procurement processes and policies to support the purchasing of necessary supplies for UME curriculum activities.

  • Performs other duties as assigned by the Pre- and Post-Clerkship Curriculum Manager.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution and 1 year of professional experience in operationally-focused roles (i.e complex scheduling, data management, and/or high-volume administrative work).

  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.

Preferred Qualifications:

  • 1-2 years of experience working at a higher education institution.

  • Prior experience working in an academic medical environment.

  • Prior experience adhering to and communicating about policies and procedures.

  • Prior experience managing schedules, logistics, or data systems

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $48,989 - $65,645.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
