JOB SUMMARY

The Operations Support Specialist provides comprehensive technical and organizational support for North Slope operations, serving as a critical liaison between field locations and the Anchorage office. This role works closely with managers, supervisors, foremen, craft personnel, and support staff to facilitate effective communication, coordinate operational activities, and ensure the accurate processing of employee timesheets, new-hire onboarding documents, HR-related paperwork, travel arrangements, and billeting logistics. The Operations Support Specialist must possess exceptional organizational, customer service, and communication skills, with the ability to manage multiple priorities, maintain attention to detail, and perform effectively in a fast-paced environment.

ESSENTIAL DUTIES

  • Update and maintain the department filing system, records, and files.

  • Respond to staff requests for operations support as required.

  • Provide recommendations regarding operational support procedures and development of new systems to ensure effective organizational performance.

  • Manage all flights for AES Kuparuk employees (varies) and maintain rotations and schedules.

  • Enter and track training rosters for VTA.

  • Utilize broad operational support techniques with North Slope experience.

  • Ability to train/learn in new and existing platforms quickly.

  • Initiate and follow through to completion on a variety of projects, including organizational structuring.

  • Understand safety culture and the role it plays in the flow of work.

  • Proficient verbal and written communication skills.

  • Able to accurately take notes at meetings via teleconferencing (if requested).

  • Excellent typing and alpha-numeric skills.

  • Attention to details ensuring accuracy of reports.

  • Daily inputs of time related data to support fieldwide operations, A/R and A/P processes; including editing time as needed in accordance with current workflows and guidelines.

  • Maintain a high level of customer service and positive attitude.

  • Cross train within A/P and billing departments to support day-to-day operations.

  • Assist with payroll functions and client invoices.

  • Other duties will be assigned to this position as needs require.

  • Comply with Company and customer policies and procedures.

  • Support AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.

REQUIRED EXPERIENCE

  • Must be authorized to work in the U.S.

  • High school diploma or GED equivalent is required.

  • Driver License required.

  • The ability to work 80.5 - 84 hours a week on a 2x2 or 3x3 rotation is required.

  • Proficient with demonstrated experience using Power BI

  • Working knowledge of SAP S/4HANA. Must understand core modules and standard O&M Technician transactions.

  • At least five (5) years of experience in operations or travel logistics specializing in fieldwide operations support working in a remote location or on the Norh Slope is required.

  • Proficient experience in reading and interpreting documents such as safety rules, operating and maintenance instructions, and procedure manuals is required.

  • Proficient experience with writing routine reports and correspondence is required.

  • Experience with cloud-based workforce management systems for tracking and managing employee time.

PREFERRED EXPERIENCE

  • Five (5)+ years of Travel Coordinator experience supporting large-scale oil and gas or petrochemical operations on the North Slope and/or in Arctic environments, with proficiency in ADP Workforce Suite and workflow/project management tools (e.g., Bluebeam Revu, Adobe Acrobat).

WORKING ON THE NORTH SLOPE

While working on the North Slope of Alaska, your lodging and food will be provided to you. All camps provide warm meals and options to grab a quick lunch or snack from the spike rooms. Rooms vary from single status to shared rooms where your roommate may work the opposite shift. Wi-Fi and Internet is free and available within the camp. Services vary depending upon where you are staying; however, most facilities offer housekeeping, self-serve laundry, commissary, mail, gyms, TV/Theater Room, etc. Each facility will have its own accommodation and policies that will be reviewed upon on-site orientation.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

The physical demands and work environment requirements outlined below are representative of those necessary to successfully perform the essential functions of this position. A post-offer, pre-hire Functional Capacity Evaluation (FCE) will be conducted to ensure an employee's ability to safely meet job standards. Candidates must be able to comply with the ASRC Energy Driving Records and Motor Vehicle Use Policy, successfully pass a pre-employment drug test which may include both urinalysis and hair testing, and meet the physical requirements of working in a remote location under arctic conditions.
