As a Business Coordinator, you will be instrumental in ensuring the seamless flow of goods and information across various departments. Your expertise will directly support key initiatives, from managing inbound shipments and resolving logistical challenges to overseeing purchase orders and facilitating vendor payments. You will play a crucial role in maintaining project timelines, ensuring compliance with auditing standards, and providing essential financial insights through comprehensive reporting. This position is perfect for someone who thrives in a fast-paced setting and is eager to make a tangible impact on operational excellence.

**What You'll Do:**

* Monitor and manage inbound shipments, ensuring timely arrival and addressing any logistical challenges.

* Collaborate with freight forwarders to track shipment statuses, confirm delivery dates, and facilitate rerouting as needed, providing regular status updates to relevant internal teams.

* Maintain comprehensive project status reports, tracking purchase orders, delivery timelines, and key milestones.

* Generate and issue purchase orders, ensuring strict adherence to auditing standards, including obtaining necessary quotes and approvals.

* Proactively resolve receiving discrepancies by providing essential documentation to internal teams, coordinating expedited services when critical, and collaborating with suppliers to confirm complete deliveries.

* Partner with the Accounts Payable team to ensure vendor payments are processed according to contractual terms, including confirming non-stock purchase orders, verifying invoice accuracy, and resolving any parked or blocked invoices.

* Prepare and analyze quarterly spend reports, culminating in a comprehensive annual spend report for strategic planning.

* Manage procurement for recurring project items and support the sourcing process for new promotional materials.

**What You'll Bring:**

* Proven experience in a business coordination, executive assistant, or similar administrative role, ideally within a supply chain or procurement-focused environment.

* Strong organizational skills and exceptional attention to detail.

* Demonstrated ability to track and manage multiple projects and priorities simultaneously.

* Experience with purchase order processes, auditing standards, and vendor management.

* Proficiency in resolving logistical and receiving issues.

* Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external partners.

* A proactive approach to problem-solving and a commitment to operational efficiency.
