The Highlights:

Reporting to the Director of Liberal Studies, the Assistant Director for Program Administration supports the First-Year Program [FYP] The FYP, part of DePaul's Liberal Studies Program, is a complex, large, and foundational program. The Assistant Director of Business Operations performs both budgetary and administrative functions critical to the operation of the First-Year Program.

What You'll Do:



  • BUDGET

    • Managing an operational budget exceeding $500,000 annually, which entails:

      • coordination of FYP payroll and stipends.
      • accurate oversight of course budgets, reimbursements, honoraria, and complex transportation and logistical needs tied to hundreds of sections each year.
      • management of supplies and other expenses related to the FYP Office.
      • coordination of onboarding paperwork for direct hires to FYP.


  • REGISTRATION/SCHEDULING

    • Entering and maintaining the schedule of FYP and LSP 200 courses throughout the year.
    • During advising periods, including summer, assisting with enrollment of students who encounter a problem registering (transfers, over-enrollment, etc.).

  • COMMUNICATION

    • Supporting FYP marketing and communication in coordination with the Liberal Studies Program office.
    • Disseminate program information to faculty, staff members, campus partners and first-year students.
    • PROGRAM SUPPORT

      • Serving as a consistent presence in the FYP office, especially during high-activity periods (e.g. before and during Immersion Week).
      • Potential support in the recruitment, hiring, and training of over 100 Chicago Quarter Mentors and approximately 30 Staff Professionals annually.
      • Supporting the delivery of events, workshops, meetings, etc. central to program success (e.g. Chicago Quarter and Focal Point Best Practices meetings, the annual Pre-Immersion Week meeting, Great Starts meeting, and Discover Chicago's Immersion Week Kick-Off and BBQ).
      • Developing and maintaining a new file management system for First-Year Program Office business in Microsoft SharePoint (knowledge with the Microsoft apps SharePoint, Lists, Forms, and Power Automate is therefore preferred).
      • Together with the Liberal Studies Program office, preparing and delivering quarterly offer letters for FYP instructors
      • Serving as liaison to URSupport.


  • Facilitate in the training, management, and payment of Student Assistants in the FYP office with the Program Manager


What You'll Need:



  • B.A./ B.S. degree required; a Masters degree is preferred
  • 3-5 years of administrative experience.
  • Excellent supervisory and foresight skills in working with Student Assistants
  • Experience working with students and an understanding of student development
  • Proficiency in Microsoft Office Suite (including the Microsoft apps SharePoint, Lists, Forms, and Power Automate)
  • Must be able to lift on occasion up to 25 lbs in order to set up and break down special events. Willingness to work overtime both in peak season and as needed.


The anticipated hiring range for this position is: $56,222 to $73,523/year.

The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
