The Medical Office Assistant provides clinic coordination to the Ryan White program's community-based outreach clinic sites. The Medical Office Assistant is responsible for the collection, monitoring, and analysis of all data in relation to the Ryan White program.

Duties & Responsibilities:
  • Engages patients at the clinic sites for medical appointments via patient registering, scheduling and day-of check-ins
  • Conducts reminder calls for scheduled appointments.
  • Tracks all failed visits and communicates with clinic staff for appropriate follow up.
  • Serves as a liaison between clinic staff and case managers; completes required medical eligibility forms in a timely fashion utilizing the electronic medical record.
  • Translates documents into Spanish when needed.
  • Carries out general office duties: operates office machines such as copiers, scanners, fax machines, voice mail systems and personal computers.
  • Answers telephones, directs calls, and takes messages.
  • Greets and directs visitors to appropriate staff.


Minimum Qualifications Required:

  1. High School diploma or equivalent.


Preferred Qualifications:
  • Knowledge of administration and clerical procedures and systems such as word processing, managing files, and records, etc.
  • Knowledge of medical terminology
  • Knowledge of customer and personal service
  • Written and oral communication skills
  • Intermediate computer skills
  • Ability to effectively communicate with staff members throughout the hospital, patients and families, and volunteers and students
  • Ability to work under pressure and amid interruptions
  • Ability to read, comprehend and follow complex instructions
  • Ability to work with persons from a variety of cultural, economic and educational backgrounds
  • Data entry ability
  • Ability to perform simple calculations (e.g., adding, subtracting, and totaling)
  • Bilingual English/Spanish preferred
