Established in 1989, the Department of Statistics and Applied Probability (PSTAT) is a diverse community engaged in education and research. Our 15 faculty members are actively involved in interdisciplinary research spanning Financial Mathematics, Data Science, Actuarial Science, Theoretical Statistics, Applied Probability, Applied Statistics, and Biostatistics. Brief Summary of Job Duties:
Under the general supervision of the Student Affairs Manager, the Undergraduate Program Advisor (UPA) provides undergraduate advising to more than 1,900 majors, pre-majors transfer students, and prospective students in the Department of Statistics and Applied Probability. Provides advice to students on the full range of requirements for 6 programs (B.A., B.S., and Minor in Statistical & Data Science; B.S. in Actuarial Science; B.S. in Financial Mathematics and Statistics (joint with MATH); plus the combined BS/MS Actuarial Science program), including choice of Major, on-going assessment of student progress and degree completion. Recommends solutions to academic issues and refers students to appropriate resources. Advises independently under general supervision. In consultation with Department Chair, Vice Chair, Management Services Officer and Student Affairs Manager, assists with curriculum planning, drafts quarterly department schedule for courses, collects and analyzes enrollment figures to provide insight and recommendations, reserves classrooms, and manages course waitlists for both academic year and summer sessions. Works collaboratively with faculty and campus agencies on all issues related to Statistics curriculum, articulation and MCA. Under the general supervision of the Student Affairs Manager, assists with and coordinates articulation, testing, outreach, recruitment, registration, orientation, degree certification and internship and scholarship programs. Provides career counseling and advice about graduate studies. Serves as liaison to UCSB offices, community college, students, faculty, and department undergraduate committee. The UPA is also responsible for maintaining student records and course and student data management. Responds to queries by phone, electronically, and in person from prospective students, parents and the public about department programs. Supervises the departmental peer advisors. Provides backup and support to Student Affairs Manager in his/her absence. Manages multiple tasks simultaneously with a demanding workload, under pressure of deadline constraints with many interruptions. Organizes and prioritizes workload; identifies problems, and develops original ideas to solve them.
Required Qualifications:

Job Functions and Percentages of Time:
- 45% Academic Advising - Coordinates individual and group advising to undergraduate students in 4 Majors (B.A., B.S., in Statistics & Data Science; B.S. in Actuarial Science; B.S. in Financial Mathematics and Statistics) 1 Minor in Statistics & Data Science, and 1 joint BS/MS program, and to prospective PSTAT major students. Provides advice and assistance to students on all aspects of their academic experience, including degree requirements, enrollment procedures, academic policies, university and departmental policies, academic planning, transfer work, internship placement, and graduation. Primary advisor of all UCSB undergraduate students (including non-PSTAT majors) required to enroll in PSTAT courses. Assists students in determining a Major; reviews each student's progress towards degree, advises on schedule planning to ensure student's progress through course sequences and avoid conflicts. Confirms that students have met requirements for degree completion, including when transfer work is involved. Advises students interested in the Education Abroad Program (EAP) and independently approves recommendation for EAP programs. Helps students clarify academic and career goals, and suggests ways to develop suitable educational and experiential plans. Makes referrals to help students with their academic program (e.g., health services, disabled students program, Colleges / Schools, transfer center). Provides customized courses of study to students preparing to enter the Combined BS/MS program in Actuarial Science. Identifies students with GPA or progress problems and recommends appropriate courses of action and/or educational resources available to them. Identifies personal crisis situations and refers students to appropriate resources. Counsels undergraduate students on career options and opportunities. Helps students identify their interests, and understand how these factors relate to academic / career satisfaction and choice. Provides guidance / assistance in researching educational and occupational opportunities and acquiring internships. Assists students with graduate school applications, program selection, and personal statement development. Writes letters of recommendation. Directs students to available resources for career-related goals including individual faculty members, Career Services, and Graduate Division. Plans and coordinates meetings and workshops relating to career options, independent studies, senior thesis, internships, program planning, and other programs related to undergraduates as they arise. Coordinates and leads quarterly workshops for students interested in changing Majors. Working with UG Affairs faculty, evaluates, processes, and approves or denies change of major petitions to enter any of the 4 distinct PSTAT Majors. Reviews student's record for transfer work for major requirements, routes copies of petitions to Letters and Science, Registrar's Office, and other departments as appropriate.
- 30% Program Coordination - Curriculum Matters - Responsible for enrolling approximately 8,500 undergraduates per year in various PSTAT courses, maximizing available space and TA resources. Collects, analyzes, and provides statistics on enrollment trends, prepares enrollment projections, tracks and records faculty workload (IRAL), and works with Student Affairs Manager to implement this information in curriculum planning. Sets up enrollment limits, seat reservations, and other course restrictions. Advises Chair and Vice Chair on budget requests for extra funding to meet enrollment demands. Coordinates and presents information at departmental meetings for new undergraduate students, faculty, and instructors about scheduling procedures and practices and enrollment needs. Works with the Student Affairs Manager and the Faculty Undergraduate Program Director to develop a yearly schedule of classes for all undergraduate courses. Drafts schedule of courses to be offered each quarter based upon a provided course listing and enrollment trends. Works closely with departments whose majors must take PSTAT courses to ensure the schedule will meet the needs of their students; coordinates cross-listed and co-taught courses as appropriate. Independently obtains classrooms for courses taking into account the requirements and restrictions of the Registrar, instructor preferences, equipment and facility needs. Consults with Registrar and instructors on obtaining appropriate classrooms and advises faculty and Department leadership on options. Ensures that the department meets all campus scheduling deadlines. Manages student enrollment, including department waitlists. Coordinates and implements departmental enrollment and waitlist policies. Administers the department's Summer Sessions program in collaboration with the Student Affairs Manager, MSO, and Vice Chair. Analyzes enrollment statistics and trends to determine Summer Sessions course offerings. Communicates and exchanges information with other campus units and responds to inquiries about the department and College transfer issues, articulation and graduation, class schedules, catalogs, curriculum, and major requirements. Reviews, updates and maintains information sheets for all department UG programs. Oversees the management of department coursework articulation database from 100+ community colleges and universities. Principal contact with other campus units (including admissions), community and four year college personnel. Annually reviews articulation agreements between the UC and community colleges, noting proposed and affected curricular changes and their effect on departmental major requirements and other departments requiring PSTAT for their major preparation. Serves as the departmental student records coordinator, attending required annual meetings and workshops with the Student Information Systems Office. - 5% Program Coordination - Placement - Responsible for all aspects of departmental prerequisite checking process and works closely with the Office of the Registrar to develop and maintain electronic prerequisite approval system and linkage with campus student database. Authorizes tentative registration for coursework in progress via add-codes, then authenticates registration by verifying successful completion of course prerequisites. Reviews and coordinates course prerequisites and ensures enforcement and accuracy. Facilitates new course approval and curriculum revisions, submits revisions approved by the Undergraduate Committee and Chair to the Master Course Approval (MCA) system to be reviewed by the Dean of Undergraduate Education and Academic Senate.
- 5% Program Coordination - Special Programs - Oversees the Departmental Honors program, ensuring applicant eligibility, monitoring progress, soliciting faculty recommendations, and informing the appropriate campus offices of successful participants. Advises students on special eligibility requirements for Honors program. Coordinates several departmental awards and honors, identifying potential candidates, soliciting applications or nominations, and assisting the faculty review committee in the selection process. Quarterly meetings with the UCSB Extension Program, Accelerated Study Access Program, and Education Abroad Program to review course availability for their special populations
- 5% Program Coordination - Recruitment - Responds to inquiries from prospective students, parents and public regarding department entrance requirements, application procedures and opportunities for future employment. Distributes information sheets about each PSTAT program to the Visitor Center, Admissions, the Office of Relations with Schools, counselors from junior colleges and high schools throughout CA, and others as appropriate. Makes certain the web site is updated with correct course and program information, and coordinates publication of undergraduate brochures. Performs recruitment activities: prepares materials and represents the department at on-campus admissions and outreach events for current and prospective students: Scholars Day, Spring Insight, Summer Transitional Enrichment Program (STEP), and Orientation Programs. Meets new freshmen and parents during Freshmen Orientation. Coordinates and conducts outreach and orientation presentations for new students. Acts as event backup proxy to the Actuarial Program Coordinator for career-related and student club presentations in the evening or weekend.
- 10% Administrative Duties - Drafts correspondence for the department Chair and Vice Chair regarding student affairs and enrollment issues, as appropriate. Supervises, hires, and trains student peer advisors. Responsible for the exit survey process including the electronic distribution of surveys to students graduating from or leaving the undergraduate programs and analyzing the data collected from them. Orders office supplies and manages faculty print requests. Assists Student Affairs Manager as needed. Acts as backup proxy to graduate program systems, and updating or editing courses in STAR and the Master Course Approval system.
