Position Title:Activity Specialist - Oklahoma Children's Hospital Department:Child Life Program Job Description:

Under the direction of Child Life, Integrative and Creative Care and reporting to the Manager, Child Life Zone and Integrative Programs, this role is responsible for planning, managing, implementing and staffing special events and activities designed to promote normalization, positive coping, patient satisfaction and supporting community awareness of child life, integrative and creative care programs and services as well as implementing, scheduling and executing Child Life Zone programming.

Essential Responsibilities

  • Collaborates with Child Life, Integrative and Creative Care staff, Volunteer coordinator/Volunteers, and hospital to plan event timing and activities.

  • Ensure appropriate balance of activities to meet patient needs and engagement with community relations and programming opportunities.

  • Provides day of support for hospital events.

  • Help host and implement donor events, patient events, along with providing monthly rotating events and activities.

  • Coordinates and supports volunteer programs to develop, plan and implement group volunteer activities and opportunities.

  • Provides appropriate training and information for event participants. Solicits ongoing feedback and evaluates contribution of event to well-being of hospitalized children.

  • Keeps statistics on all events.

  • Coordinates coverage of events with ITZTV.

  • Source and manage supplies and equipment based on available resources, vendors, and budget for the department.

  • Plans and provides programming daily in the Child Life Zone.

  • Keeps advertisements to families up-to-date on events and programming.

  • Maintains prompt and reliable communication with Child Life, Integrative and Creative Care staff, interdisciplinary teams, In the Zone TV, and volunteers regarding special events.

  • Assures timely publication of event information to clinical areas for communication with patients and families.

  • Provides proper recognition to all contributing special event participants.

  • Create a contact list for all vendors/special visitors/groups, including the initial contact at hospital.

General Responsibilities

  • Performs other duties as assigned.

Minimum Qualifications

Education Requirements

  • Associate's degree required.

Experience Requirements

  • Minimum 1 year of experience in special event coordination, project management, or program planning required.

License/Certification/Registration Requirements

  • Current Basic Life Support issued by the American Heart Association required within 30 days of hire.

Knowledge/Skills/Abilities Requirements

  • Comfortable with public speaking and proven ability to conduct training sessions.

  • Ability to marshal resources (people, funding, materials, in-kind donations) to get projects accomplished.

  • Excellent public/customer relations skills.

  • Highly skilled at communication, organization, scheduling.

  • Ability to take direction yet work independently with minimal supervision.

  • Proficient at Microsoft Office (Word, Excel, Power Point, Teams), Canva.

  • Proven ability to conduct training sessions, manage volunteers, and community relations.

  • Excellent public/customer relations and relationship management skills.
