Job Description:

Adolfson and Peterson Construction is currently looking for an Administrative Assistant to work directly out of our Midwest office based in Bloomington. This role will report directly into the Regional President and provide confidential high level administrative support to multiple regional department leaders.

Responsibilities:

  • Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture.
  • Provide high-level administrative support for the regional leadership team including, but not limited to:
    • Provide clear communication.
    • Manage and maintain regional leadership teams' schedule.
    • Read, research and route correspondence; draft letters and comments; collect and analyze information; initiate communications.
    • Review work to check for correct spelling and grammar; ensure that the company format policies are followed and recommend edits as necessary.
    • Perform desktop publishing; create and develop presentations and complex reports in Excel.
    • Coordinate activities of the regional leadership team where appropriate to maximize efficiency and time management.
  • Handle complex travel logistics and arrangements. Process expense reports for the local leadership team.
  • Successfully complete a high volume of work and balance priorities to meet established deadlines.
  • Plan and manage calendars for leaders including agenda and email. Maintain a strong understanding of organizational and department objectives to filter and prioritize incoming information and meeting requests.
  • Assist with coordinating special events and company sponsored functions, including the annual company meeting and holiday party.
  • Review contracts for readiness and present to Regional President for signature.
  • Prepare monthly report for review by Regional President.
  • Generate a weekly proposal schedule and recap.
  • Provide additional administrative support for other departments as needed including:
    • Providing back up for the front desk
    • Regional satellite office duties
  • Other duties as assigned.

Requirements:

  • History of experience and proven results including:
    • High school diploma or equivalent and 5+ years of providing administrative support to multiple departmental leaders; bachelor's degree preferred.
    • Current Notary Public or the ability to become a Notary Public.
    • Experience and familiarity with the A/E/C industry preferred.
    • Advanced skills with Microsoft Office including Word, Excel, and PowerPoint.
    • Ability to handle confidential information with discretion.
  • Demonstrated integrity and ethical standards.
  • Developed skills (written, oral, and listening) to effectively communicate with diverse audiences
  • Ability to efficiently manage multiple projects and priorities simultaneously under time constraints.
  • Excellent interpersonal skills with the ability to build successful and lasting relationships.
  • Availability during non-traditional work hours; occasional calls and coordination needed during evening and weekend hours.
  • Demonstrated high attention to detail.

Estimated Pay:

$49,000.00 - $73,000.00
