Logistics / Exercise Operations Coordinator

Position Type: Full-time

Location: Washington, DC Metro strongly preferred due to onsite support and equipment requirements

Clearance / Suitability: Secret preferred; ability to obtain and maintain Secret and DHS suitability required

Travel: Frequent travel possible based on exercise schedule


Position Summary

The Logistics / Exercise Operations Coordinator supports the practical execution of discussion-based and operations-based exercises, including venue coordination, participant registration, material production, A/V coordination, exercise setup and teardown, shipping, travel documentation, ODC support, and Government Furnished Property/Government Furnished Equipment accountability. This role is essential to onsite readiness and continuity of support.


Essential Duties and Responsibilities

  • Coordinate exercise venues, meeting rooms, conference bridges, webinar links, A/V support, seating, room configuration, registration areas, observer areas, media areas, and onsite logistics.
  • Prepare and manage participant rosters, invitations, sign-in sheets, name tents, badges, briefing books, read-ahead packets, feedback forms, and exercise packets.
  • Coordinate printing, copying, binding, shipping, receipt, staging, distribution, collection, and recovery of exercise materials.
  • Support event setup, exercise team walkthroughs, final room setup, pre-event sweeps, staging, ENDEX procedures, teardown, and material consolidation.
  • Coordinate deployment and retrieval of exercise equipment, including radios, blue guns/inert weapons, safety clothing, signage, Pelican cases, simulated materials, and other approved items.
  • Support GFE/GFP maintenance, inventory, barcode tracking, quarterly checks, annual inventory support, and lost/damaged/destroyed reporting.
  • Prepare travel authorization inputs, itineraries, trip files, receipt packages, and travel documentation in support of FTR-compliant travel.
  • Support ODC requests by collecting cost breakdowns, purpose statements, receipts, and backup documentation for Government review and approval.
  • Coordinate with Government facility staff, security personnel, event stakeholders, vendors, and internal exercise team members.
  • Maintain logistics checklists, equipment trackers, material inventories, and post-event closeout records.


Required Qualifications

  • 4+ years of experience in logistics, event operations, exercise support, property support, emergency management support, or federal program operations.
  • Experience coordinating meetings, events, venues, materials, A/V, shipping, travel, vendors, and onsite support requirements.
  • Strong organizational, documentation, and problem-solving skills.
  • Ability to travel and support early, late, or extended exercise execution hours as needed.
  • Proficiency with Microsoft Office, Excel, Outlook, Teams, and SharePoint.


Preferred Qualifications

  • Experience supporting federal property accountability, DHS/CISA/FEMA exercises, or full-scale exercise logistics.
  • Experience with ODC documentation, FTR travel support, or Government facility coordination.
  • Familiarity with exercise equipment such as radios, signage, safety clothing, moulage supplies, and inert training devices.
