Position Overview

The Commercial Banking Administrator (CBA) serves as a key partner to Commercial Bankers by providing administrative, operational, and client service support throughout the commercial lending lifecycle. This role is responsible for coordinating loan documentation and due diligence requirements, supporting portfolio management activities, maintaining client records, and delivering a high-quality client experience. The CBA serves as a primary point of contact for day-to-day client servicing needs and works closely with internal business partners to ensure timely and accurate execution of commercial banking transactions.

Essential Job Functions



  • Deliver exceptional service to commercial clients by processing loan payments, account transfers, maintenance requests, and other servicing activities in a timely and accurate manner.
  • Serve as a trusted point of contact for client inquiries, coordinating solutions and facilitating seamless referrals to internal partners as appropriate.
  • Coordinate and monitor the collection of required documentation for new loan originations, renewals, modifications, and ongoing portfolio maintenance.
  • Order, track, and review third-party due diligence items required for underwriting and loan closing, including flood certificates, litigation searches, certificates of good standing, and other collateral-related documentation.
  • Ensure due diligence requests are completed within established service-level expectations and lending timelines.
  • Organize and maintain loan files, ensuring documentation is complete, current, and compliant with bank policies and procedures.
  • Generate and maintain portfolio monitoring reports to track loan maturities, past-due loan activity, and other portfolio management requirements.
  • Assist with financial tracking processes by collecting borrower financial information and uploading documentation into the bank's document management system.
  • Maintain accurate client and loan records in accordance with regulatory requirements, internal controls, and bank policies.
  • Ensure commercial loan and deposit files meet documentation, audit, compliance, and record retention standards.
  • Support operational efficiency initiatives, process improvements, and special projects as assigned.


Additional Responsibilities -Depending on portfolio complexity, market needs, and workflow volume, responsibilities may include:



  • Assisting with commercial deposit account openings, including customer due diligence (CDD), beneficial ownership collection, CIP/KYC requirements, account documentation, and system setup.
  • Partnering with Treasury Management teams to support commercial clients with digital banking, cash management, payment solutions, and related services.
  • Maintaining customer information files and ensuring compliance with BSA/AML, KYC, and regulatory requirements.
  • Providing administrative support for management reporting, board reporting, and other departmental initiatives.
  • Assisting in the development and maintenance of departmental procedures and process documentation.


Minimum Requirements



  • High school diploma (or equivalent) and two or more years of banking experience in areas of commercial or retail banking and/or loan support, or related experience; or equivalent combination of education and experience.


Competencies



  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Collaborates effectively with others while maintaining accountability for individual work.


Preferred, but not required



  • Associate's or Bachelor's degree in Business, Finance, Accounting, or related field.
  • Knowledge of commercial loan documentation, loan processing workflows, and commercial banking products and services.
  • Experience with commercial loan systems, digital document repositories (e.g., OnBase), and portfolio management processes.


Location Details

This position is considered a hybrid role based in Chicago, IL (333 W. Wacker Drive). With management approval, an incumbent may work a combination of remote and onsite work to perform the regular responsibilities of the role. Actual schedule requirements may vary based upon business needs.

Compensation & Benefits

Base pay: $54,575 - $74,220 annually.
