Position Summary

The Sales Support Specialist on the Sales Operations & Support Team provides operational, administrative, and program coordination support to the Sales organization. This role supports the administration of vendor programs and incentives - particularly Microsoft funding, compliance, and financial tracking - while also supporting core sales operations and support activities such as quoting, order processing, CRM data accuracy, and sales coordination.

The Sales Support Specialist partners closely with Sales, Finance, Operations, Renewals, and Service Delivery teams, as well as strategic vendors, to ensure accuracy, compliance, and a seamless end-to-end sales and revenue process.

What will you do in this role?

Microsoft Program Administration & Incentives

  • Execute and support Microsoft funding program submission activities, including deployment funding and End Customer Investment Funds (ECIF), coordinating inputs, documentation, and timelines with internal stakeholders and Microsoft
  • Submit, track, and maintain CPOR (Claiming Partner of Record) claims, aligning them with associated opportunities and program requirements
  • Track Microsoft Enterprise Agreement (EA) renewals and coordinate activities supporting Microsoft Commerce Incentive (MCI) engagements, including timeline management and submission of related incentive claims
  • Monitor Microsoft incentives, promotions, and partner program requirements, identifying eligibility considerations and communicating relevant updates to stakeholders
  • Maintain accurate documentation and tracking of program activities, statuses, and outcomes to support visibility, reporting, and reconciliation

Financial Tracking & Reconciliation

  • Track Microsoft-related payments, incentives, and reimbursements
  • Reconcile expected versus received funding and escalate discrepancies
  • Partner with Finance to support accurate allocation of vendor payments and program funding
  • Maintain records and reporting related to vendor funding and incentive performance

Vendor Coordination & Administration

  • Support vendor compliance activities related to order processing, documentation requirements, and vendor program standards
  • Serve as liaison between internal teams and vendors to support alignment with contractual and program requirements
  • Maintain accurate documentation and tracking related to vendor activities and Microsoft partner program guidelines
  • Facilitate vendor-related activities across quoting, licensing, provisioning, and fulfillment by triaging requests, coordinating handoffs, and following up to support timely execution

Sales Support & Order Management

  • Assist with preparing quotes and proposals for products and services
  • Support processing of sales orders, subscription changes, renewals, and cancellations
  • Maintain CRM data accuracy for accounts, contacts, opportunities, and renewals
  • Support invoice accuracy by validating order and contract details
  • Coordinate internal handoffs from Sales to Service Delivery and Operations teams

Operational Support & Process Excellence

  • Document sales operations and vendor program processes
  • Contribute to identifying opportunities to improve workflows, tracking, and operational efficiency
  • Support ongoing process improvement and standardization efforts
  • Support additional operational, administrative, and project coordination activities as aligned to sales operations, vendor programs, and broader team priorities as needed

What do you need to succeed in this role?

  • 2-5 years of experience in sales support, sales operations, vendor coordination, or program administration
  • Experience working with CRM systems (e.g., Microsoft CE, Salesforce)
  • Experience supporting vendor programs or incentives; Microsoft ecosystem experience preferred
  • Proficiency in Microsoft Office applications including Excel, Word, and Outlook
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to work independently while collaborating effectively across teams
  • Strong written and verbal communication skills
  • Strong problem-solving and follow-through abilities

In compliance with this state's pay transparency laws, the midpoint of the salary range for this role is $70,000. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
