Summary

The Operations Specialist I is a unique opportunity that involves working and communicating with many groups across the Cancer Program (CP) and the Broad community to facilitate the operational goals of the program. The successful candidate will play a role in maintaining and improving the operational and communication systems of the Cancer Program. This role will be a partner with management to help execute programmatic initiatives and projects with the goals of engaging the community, increasing connectivity, and building operational efficiency. The Operations Specialist I will report to the Director of Operations, who will work closely with the incumbent to direct, balance, and prioritize the needs of the Program.

The ideal candidate will enjoy working with multiple groups and be both people- and detail-oriented. The candidate will appreciate the essential nature of working in person with colleagues, on-site, to interact with Cancer Program constituents. Overall, the position affords an opportunity to build on experience with aspects of operations and process improvement in an academic and scientific setting.


Operations:

  • Provides overall foundational program support
  • Supports the CP appointment process, requests, updates, as needed
  • Collaborates with team members on large initiatives and events
  • Develops and maintains operational plans and financial tracking for core projects
  • Manages the CP Office email inbox administration
  • Provides floating administrative backup coverage as needed
  • Identifies ways to refine and optimize programmatic workflows
  • Monitoring and manages external vendor contracts/relationships as appropriate

Project and Meeting Coordination:

  • Assists with planning and support of weekly program meetings
  • Assists the Director of Operations with project management of annual off-site CP retreat
  • Contributes to the execution of additional seminars, conferences, program-wide socials and special events in collaboration with team members
  • Coordination of the logistics of Innovators in Cancer Seminar Series (ICSS) including scheduling, travel arrangements, day of coordination, organization of committee meetings and all related external and internal communications
  • Identifies opportunities for new initiatives of-benefit to the CP community as well as its affiliate partners

Communication:

  • Coordinates and distributes biweekly CP newsletter
  • Maintains internal calendar of events and video screen announcements as appropriate
  • Updates and maintains internal and external program websites, and video screens
  • Serve as point of contact for Cancer Questions inbox- triaging messages and drafting email responses as appropriate
  • Other tasks as assigned

Education:

  • Bachelors Degree with 0+ years of experience
The expected base pay range for this position as listed above is based on a 40 hour per week schedule. Broad provides pay ranges representing its reasonable and good faith estimate of what the organization reasonably expects to pay for a position at the time of posting. Actual compensation will vary based on factors including but not limited to, relevant skills, experience, education, qualifications, and other factors permissible by law.
