Washington County, located in West Bend, Wisconsin has an excellent opportunity for a Executive Assistant & Project Coordinator. This position will perform a range of complex and confidential administrative tasks and provide executive support to the County Executive and his Office. Serves as the primary point-of-contact for internal and external constituencies on matters pertaining to the Office.
Training and Experience:
*Bachelor's degree in business or related field is preferred. High School diploma or GED required.
*Minimum of five years of progressive experience in an administrative support role, with preferred experience working for executive office suite or elected personnel.
Salary Range is $70,233 - $93,389

Duties/Responsibilities:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
*Manages County Executive calendar, schedule, email, travel, expense reports, membership, and digital/physical filing systems. Manages incoming correspondence to alert the County Executive to upcoming events and information.
*Coordinates teams and work on strategic priorities and special projects as assigned.
*Coordinates meetings and information sharing with internal staff and external parties and stakeholders. Prepares highly sensitive and confidential documents and data. Composes and prepares correspondence, reports, and proclamations as required.
*Provides constituent service, both in-person and by email/telephone. Screens and directs telephone calls, takes and relays messages, and answers questions from employees and the public.
*Leads the preparation of materials for meetings including information packets, reference materials, correspondence, room set-up, and other related duties. Occasionally takes meeting minutes.
*Assists with the creation of talking points, presentations, briefing books, and other communication tools.
*Creates and distributes communications from the County Executive to citizens and constituents.
*Manages the budget for the department, including the ordering and maintenance of services and equipment and supplies.
*Manages tracking system for external and internal meetings and communications, including all follow-up utilizing Microsoft Planner.
*Provides administrative support to the Chief of Staff.
*Other duties as assigned. Some evening and weekend work, as well as occasional driving may be required.
Work Direction Received: Works under the general direction of the Chief of Staff.
Employee Supervision Exercised: None.
Essential Knowledge and Abilities:
*Must maintain confidentiality of sensitive business and personnel information.
*Ability to think independently to anticipate and prepare for the needs of the Office of the County Executive.
*Knowledge of the organization and mission of local government structure.
*Flexibility to support events and meetings scheduled outside of the traditional workday.
*Event planning and execution experience is preferred.
*Attention to detail and proven skills in time and project management.
*Proficient knowledge of modern office practices and procedures, basic computer principles, business English, spelling and composition.
*Expert knowledge of office practices and procedures, Microsoft Word, PowerPoint, Excel and Microsoft Planner. Ability to maintain accurate records and prepare reports, communicate effectively orally and in writing, and interact effectively with co workers and the public.
*Able to fulfill physical demands of job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization).
*Candidates must have a valid driver's license.
