Job Summary: The Benefits & People Operations Administrator provides broad administrative and operational support across key employee programs and related HR functions. This role helps ensure benefit programs and related employee processes are administered accurately, efficiently, and in compliance with company policies and applicable requirements. The position requires strong analytical skills, particularly in reviewing and validating vendor invoices, as well as the ability to remain flexible, organized, and effective in a fast-moving environment. The role serves as a key resource for employees, retirees, vendors, and internal partners by supporting day-to-day program administration, maintaining accurate data and documentation, coordinating recurring processes, and helping deliver a high level of service to the organization. #LI-PN1
Responsibilities
Provide support for global benefits programs by coordinating with vendors, brokers, HR, and employees on enrollment, eligibility, communications, audits, system updates, and issue resolution
- Responsible for assisting in all aspects of employee data updates that occur in our Dayforce HRIS system inclusive of entry, validation and processing.
- Monitor the system's message center workflow to process incoming HR data changes to employee level data including but not limited to new hires, separations, personal data changes, tax exemption changes, job changes, employee level bank updates, and pay rate modifications.
- Responsible for processing all third-party payroll and benefits vendor invoices, including monthly benefits insurance bills in SAP Accounting software.
- Coordinate's POs in SAP for many departments in HR. Adheres to policies and procedures
- Administer company matching gifts program, tuition reimbursement, and submitting to payroll and accounting to process accordingly in a timely manner.
- Serve as the primary point of contact for the payroll & benefits department employees and retirees, delivering exceptional customer service by addressing inquiries and escalating complex issues to the appropriate team members as needed.
- Responsible for administrating anniversary service awards and 25-Year dinner celebration and pins
- Responsible for ensuring Employee Related Discount Programs is updated regularly on company platforms
- Responsible for Dayforce Data Entry for all contractors to ensure they are accurate and complete.
- Coordinate all aspects of relocation administration, including processing related invoices and ensuring timely and accurate documentation in compliance with company policies.
- Track and manage relocation repayment obligations for terminated employees, ensuring accurate documentation and follow-up in accordance with company policies.
- Coordinate and track SoFi student loan repayment contributions, ensuring timely processing and accurate record-keeping.
- Provide accurate unemployment claim information in Equifax, partnering with HR Business Partners to gather required documentation, validate claim details, and ensure timely completion of responses.
- Provide support for the administration of Canadian health, dental, vision, life and AD&D insurance, retirement plans, and other related benefits.
- Assist with coordination of additional Canadian supplementary benefits plans, such as mental health providers.
- Assist with leave management programs including US, UK and Canadian workers' compensation, short-term disability, British Columbia MSP, and maternity, paternity, and parental leave.
- Coordinate with benefits broker for medical and dental taxable benefits for year-end processing.
- Coordinate with benefits broker to obtain new insurance rates and manually key amounts into payroll software.
- Administer the US Medicare Supplement program on a quarterly basis, verifying participant information for accuracy, ensuring required updates are completed timely, and providing the necessary information to Accounts Payable for payment processing
- Support with responding to inquiries for multiple shared email inboxes for payroll and benefits department.
- Responsible for coordinating with the team and ensuring corporate intranet is regularly updated with the most recent content for the payroll and benefits department.
- Maintain confidential information in accordance with Federal & State mandates and Company policy as it may pertain to information security protocols and procedures.
- Maintain a general knowledge of HR, Payroll and Benefit knowledge to ensure compliance with HR policies, regulations, and procedures.
- Prepare and maintain total rewards reporting, support global benefits projects, and maintain process documentation, operating procedures, and controls for benefits workflows.
- Performs other duties as required.
Qualifications
- BA / BS preferred, or equivalent experience
- Fluent in French preferred
- Minimum of 1 year of experience working with payroll systems such as Dayforce, Workday, or similar platforms, along with general knowledge of Applicant Tracking Systems (ATS), Performance Management, and Time & Attendance systems
- Minimum of 1 year of experience working in benefits administration or demonstrated knowledge of employee benefits programs preferred.
- Strong understanding of Microsoft Excel, Word
- SAP Experience preferred but not required
- Knowledge of Dayforce preferred but not required
- Ability to communicate openly and honestly with colleagues and customers.
