Job Summary The Transformation Administrative Coordinator provides comprehensive administrative and operational support to a dedicated transformation program and onsite project facility. This role serves as the central point of coordination for day-to-day office operations, contractor onboarding and offboarding, workspace readiness, and meeting and hospitality logistics. This role ensures the transformation team and contractor workforce have the resources, access, and environment needed to operate efficiently and professionally.
Essential Functions
- Provide general administrative support to transformation leadership and project teams, including calendar coordination, meeting logistics, document preparation, and correspondence.
- Track action items, requests, and operational needs to support smooth project execution.
- Serve as a key point of contact for day-to-day administrative and facility related questions within the project environment.
- Manage the administrative process for contractor onboarding and offboarding, ensuring timely coordination of: Facility access badges and credentials; workspace assignments and seating arrangements; equipment, supplies, and general site readiness
- Partner with internal teams (e.g., facilities, security, IT, project leadership) to ensure contractors are fully enabled on Day 1 and properly offboarded at project exit.
- Oversee day-to-day operations of the dedicated transformation project facility, including managing workspace utilization, seating plans and meeting room availability.
- Manage daily meeting logistics across the project space, including room reservations, set ups, special project events, and on-site coordination.
- Coordinate daily lunch arrangements for the project team and contractors, including vendor coordination and schedule management.
- Ensure common areas are stocked and operational, including coffee service, refreshments, and general office supplies.
- Manage expense-related activities for meal costs, including tracking receipts, coding expenses accurately, and ensuring timely submission and approvals.
- Coordinate with Supply Chain to establish and support cost management processes for project-related services and expenses.
- Monitor facility needs and escalate issues to appropriate partners to maintain a professional, functional work environment.
- Identify opportunities to improve administrative, onboarding, and facility processes to enhance efficiency and team experience.
- Maintain accurate records related to contractor access, seating assignments, and facility usage.
Required Qualifications For Position
- High School Diploma or equivalent experience.
- 2+ years of experience in an administrative, coordinator, office operations, or facilities support role.
- Strong organizational and coordination skills with the ability to manage multiple priorities simultaneously.
- Proven ability to work proactively and independently while collaborating effectively with cross functional partners.
- Excellent communication and customer service skills.
- High attention to detail and follow-through.
- Comfort working in a dynamic project environment with changing needs.
Preferred Additional Qualifications for Position
- Experience supporting project teams or fast paced, multistakeholder environments.
- Experience supporting large programs, transformation initiatives, or project based workforces.
- Familiarity with contractor onboarding processes, facility coordination, or office operations in a corporate environment.

Salary Range*: $54,000.00 - $75,500.00
