Student Financial Services- Cashiers & Student Collections Office

Student Financial Services manages financial aid and student account processes, including scholarships, loans, billing, and federal aid administration. The department works with students and families to provide guidance on financial procedures and compliance with federal and institutional requirements.

Job Description

Serve as the primary campus resource for third-party accounts receivable processing within the PeopleSoft Student Financials system. This position administers third-party sponsor contracts, coordinates billing and collections, applies payments, and provides expert guidance to students, sponsors, and campus departments regarding third-party receivables. The Account Specialist ensures accurate account management, compliance with sponsor agreements, timely collections, and exceptional customer service while maintaining advanced knowledge of Student Financials and related university systems.

Key Responsibilities

  • Serve as the campus subject matter expert for Third-Party Accounts Receivable processing within PeopleSoft Student Financials.
  • Establish, maintain, and administer third-party sponsor contracts, including reviewing sponsor authorizations, determining eligibility, assigning students, and ensuring compliance with sponsor agreements.
  • Monitor and reconcile student accounts by processing adjustments related to enrollment, financial aid, fees, waivers, credits, refunds, and other account activity.
  • Manage the monthly third-party billing process, including invoice preparation, review, distribution, supporting documentation, payment application, collections, and resolution of billing discrepancies.
  • Process wire payments and prepare related accounting transactions, including Cash Received Reports, Journal Entries, and Non-PO Vouchers.
  • Coordinate with campus departments to process International Student Insurance and International Student Service Fee charges.
  • Serve as the primary point of contact for students, sponsors, parents, and university departments by researching account issues and resolving complex third-party accounts receivable inquiries.
  • Maintain advanced knowledge of PeopleSoft Student Financials and related processes to ensure accurate billing, account reconciliation, and compliance.
  • Participate in Student Financial Services operations by providing customer service, supporting team functions, and serving as backup for Cashier staff.
  • Maintain confidentiality of student financial records and comply with university policies, federal regulations, and sponsor requirements.
  • Perform other duties and special projects as assigned.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

An degree in business, accounting, or a related field is preferred, or an equivalent combination of education and experience.

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $19.25-$20.00 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
