Position: Manager Finance & Grants

Department: Medicine Administrations - Billing and Compliance

Location: Boston, MA

Schedule: 40 hours per week, Hybrid

JOB SUMMARY:

TheManagerFinance & Grantsisresponsible forallpost-awardfinancial functionsfor theassigned contract and grant portfolio.TheManagerwill work closely with the PI and program staff to ensuretimelyand applicablebudget,expendituresand projections. TheManagerwill collaborate withResearchStaff, Division Chief, Clinical Services, and PI's (Principal Investigators) in thefinancial management, planning, and reporting of programs, grants, and contracts, while making sure that the PI's are receiving sufficient andtimelyfinancial information.Will alsopartner withtheproposal development teams on the preparation and coordination of pre-award submissions.

JOB RESPONSIBILITIES

  • Grantsfiscal operations management

  • Manage all income, contract, donor,and grant accounts including deposits, balances, and authorization of expenses for all accounts withinportfolio.

  • Primary contact for all post-award issues forPI'swithin portfolio, including, but not limitedto:reimbursements, purchases, invoice payments, staffing, consulting payments, subcontracts, budget analysis, financial planning.

  • Track all accounts using the internal forecast model of budget, actual, and projectiontrackingensuring that all workbooks are always up to date.

  • Review and reconcile monthly accountstoactual expenditures.

  • Manage a master reconciliation workbook for all accounts withintheportfolio.

  • Manage andmaintaincentralized post award files.

  • Manage close out process and checklist for all accounts, ensuring funds are spent andallocatedappropriately,unspent purchase orders are closed out, etc.

  • Collaborate withPrincipalInvestigatorswith thepreparation of budgets.

  • Generate and distribute reportson a regular basis as assigned andneeded.

  • Interface with Department Administration, Division staff, Grants Administration,Purchasing, Accounts Payable, Payroll and other Hospital/University departments and external organizations to ensure a smooth and efficientpost awardprocess.

  • Develop andmonitorannual budgets forsectionsand/orPI'swithin portfolio.

  • Manage payroll information for all staff and faculty within portfolio,to include, but not limitedto:workday and SAP adjustments.

  • Collaborate with PI'sand Section Administrative Directorregardingresearch staffhiring.

  • Orientandadvise faculty, staff, students, interns, and fellows on financial policies and proceduresof thedepartment,hospital, anduniversity.

  • Assistresearchstaff as needed with post-award management for accounts outside of portfolio.

  • Partner with the proposal development teams to prepare and coordinate pre-award submissions within assigned area; inclusive of budget creation and reporting requirements.

  • The Manager may be asked to temporarily cover department administration vacancies in other sections with the Department of Medicine, as needed.

Personnelmentorship& training

  • Provides direction and development toan administrativestaff,by coaching,mentoringandidentifyingtraining needs.



Administrative support

  • Oversee administrative functions for the division and/or assigned portfolio - working with internal and external groups, facilities, IT, Environmental Services, etc. ensuring floor is management appropriately - inclusive of shared copier management, kitchen management, space management, keys, phone list, email distribution list, etc.,

  • Assistin creating policy and procedure manual.

JOB REQUIREMENTS

EDUCATION:


  • Bachelor's degreein Accounting, Finance or related field, or equivalent combination of education and experience.



EXPERIENCE:



  • At least five (5) years' experience in financial management and pre-and post-award grant administration.

  • Experiencein healthcare, academic,or non-profit fieldpreferred.




KNOWLEDGE AND SKILLS:


  • Knowledge of federal grants,programsand Grants Administration policies andpractices

  • Ability to work independently and exercise independent judgment

  • Ability toanticipateobjections and planappropriate responses

  • Ability to perform and lead effectively in stressful situations and to solve problems as they occur

  • Highly organized; able to handle multiple projects,prioritizeand meet deadlines

  • Proficient with standard software used in office setting (i.e.MS Word, Excel, web browser,etc)

  • Excellent communication and interpersonal skills, to interact effectively witha multi-layered interdisciplinary team and outside contacts

  • Team player,with a willingness to learn and impart knowledge to the staffs

Compensation Range:

$83,000.00- $120,500.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
