About the Role The Assistant Manager, Owner Services supports homeowners from pre-closing through the contractor warranty period for Howard Hughes residential communities. This role serves as a key liaison among homeowners, contractors, project management, and internal teams for unit turnover, post-construction punch list coordination, homeowner orientation, and warranty follow-through. The Assistant Manager is responsible for timely communication, accurate documentation, and a high level of customer service that positively represents the Company and supports the homeowner experience. Salary: $60,000-$65,000 plus 10% bonus What You Will Do Pre-Unit Turnover
Coordinate with the Project Manager, Project Coordinator, contractors, and internal departments to assemble required turnover and warranty documentation for each unit. Assist with preparation of Buyer/Homeowner manuals and related closing materials. Schedule, coordinate, and conduct unit walk-throughs with buyers or their authorized representatives prior to closing to document post-construction punch list items. Coordinate completion of punch list items with contractors and perform back-checks to verify acceptable completion prior to final sign-off. Explain unit features, upgrades, maintenance requirements, operating components, and project amenities to buyers during turnover. Ensure final developer cleaning, required unit readiness items, and welcome materials are completed or in place prior to closing, as applicable. Maintain project documents and turnover files within the designated project tracking system.
Post-Unit Turnover / Warranty Support
Serve as a primary point of contact for homeowners and contractors regarding warranty-related issues within assigned units during the contractor warranty period. Review homeowner warranty submissions, attend unit inspections as needed, and verify reported conditions for contractor review. Communicate contractor determinations and status updates to homeowners in a timely and professional manner, including written follow-up as required. Coordinate unit access among homeowners, contractors, and vendors to facilitate inspection and completion of warrantable work. Schedule and track contractor and vendor activity to support timely completion of warranty items to homeowner satisfaction. Maintain accurate warranty tracking information, including calls, emails, issues reported, status updates, access coordination, and completion dates. Prepare concessions or related correspondence for management review and execution, as needed.
Administrative / Project Support
Assist Construction Managers, Directors, and Owner Services leadership with project punch lists, documentation, and other assigned operational tasks. Draft, organize, and maintain standard operating procedures for recurring department and project-related processes. Maintain project files, logs, and related administrative records in an organized and timely manner. Assist with preparation of presentation and meeting materials for internal and external audiences using standard office software and presentation tools. Provide general departmental coordination and administrative support for special projects and other duties as assigned.
About You
High school diploma or equivalent required; Associate or Bachelor's degree preferred Two to three years of experience in luxury residential, hospitality, high-end customer service, owner services, construction coordination, or a related field preferred. Experience working for a development or construction firm, or within a closely related industry, strongly preferred. Strong verbal and written communication skills with the ability to interact professionally with homeowners, contractors, vendors, and employees at all levels of the organization. Strong organizational skills, sound judgment, attention to detail, and the ability to manage multiple tasks with minimal supervision. Resourceful, solutions-oriented, and proactive, with a positive and service-focused approach to issue resolution. Proficient in Microsoft Office applications and able to learn or use project tracking and documentation systems effectively. English proficiency required; Japanese language skills preferred. Demonstrated "cando" attitude, resourcefulness, and collaborative mindset, comfortable working both independently and as part of a team. Typical office, residential tower, and construction site environment. Must be able to work flexible and varied shifts, including weekends, evenings, and holidays, as business needs require. Position includes standing, walking, bending, kneeling, and other repetitive motions. Must have manual dexterity to operate necessary equipment safely and the ability to lift up to 30 pounds.
