SUMMARY
Open Until Filled-
Ensure compliance within the Student Services division with regards to operating procedures set forth by state and/or federal regulation and reporting requirements; oversee auditing practices; compile term and annual reports for institutional constituents; provide responsible and complex administrative support to the Director-Records and Registration and the Vice President for Student Services as needed.
DUTIES AND RESPONSIBILITIES
- Prepare and transmit required compliance reporting for the North Carolina Community College System (NCCCS), including but not limited to, the Institution's Class Report, Comprehensive Curriculum Student Report, Graduation Data Extract, and Estimated Full-Time Equivalence (FTE) reports.
- Ensure that accurate data is being supplied to National Student Clearinghouse, including addressing all error reports generated after data submission.
- Participate in the compilation and submission of institutional, state, and federal reports by analyzing, validating, and organizing student data in collaboration with colleagues.
- Assist with resolving data issues in Student Information System by collaborating with relevant college faculty, staff and administrators.
- Prepare daily, weekly, quarterly, and annual reports and materials for internal and external reporting.
- Verify, audit, and update student records to ensure compliance with North Carolina State Board Code and provide training to faculty and staff as needed.
- Implement standardized processes to assist department with accountability as well as support increasing efficiencies in time, resources and reporting student successes.
- Establish and maintain effective relationships with faculty and staff. Alert all departments of errors that may result in audit exceptions and penalties for the College.
- Support the implementation and monitoring of records retention schedules and compliance protocols, ensuring adherence to legal and institutional standards. Responsible for maintaining document imaging and related processes in an effort to achieve a greater paperless environment while adhering to required document retention guidelines.
- Actively participate in College-wide committees.
- Maintain and expect professionalism in the performance of duties; foster collaboration, collegiality and support.
- Perform other duties as assigned.
MINIMUM EDUCATION QUALIFICATIONS
- Bachelors degree from an accredited college or university required
MINIMUM EXPERIENCE QUALIFICATIONS
- At least 2 years of experience with registration, regulatory compliance, recordkeeping and/or internal reporting, required
- Detail oriented with excellent verbal, written and interpersonal skills
- Advanced skills in Microsoft Excel required
- Experience in higher education preferred
PHYSICAL REQUIREMENTS
- Generally works in a traditional climate-controlled office environment and requires the ability to sit for extended periods.
- Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 25 pounds required.
- Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
- In addition to regular office hours, position sometimes requires overtime and/or evening hours.
